PURPOSE OF THE JOB


Reporting to the Finance Director, and working closely with the Finance Assistant, the post holder will support all aspects of the finance function for The Piece Hall Trust and will contribute to the realisation of the organisation's goal of The Piece Hall becoming a world class heritage, events, retail, food and drink destination.

You will work across all areas of the finance function including:

  • Nominal ledger and book keeping
  • Purchases and payment of suppliers
  • Banking and cash reconciliation
  • Sales, income and credit control
  • Payroll
  • Year end accounts and audit
  • Gift aid returns
  • General

KEY DELIVERABLES/ACCOUNTABILITIES

Nominal ledger and bookkeeping
Take responsibility for the timely and accurate entry of invoices, ensuring correct treatment of VAT.

Day-to-day bookkeeping using the accounting software (currently Sage), Microsoft Excel and Zahara procurement.

Process and reconcile expense & petty cash records.

Bank reconciliation.

Assist with monthly management accounts and other reports as required.

Reconcile any discrepancies or errors identified and amend financial records.


Purchases and payment of suppliers

Liaise with staff to:

  • Ensure that goods are ordered in accordance with agreed purchase order and approvals procedures.
  • Ensure that proper documentation is kept for returns and that credit notes are obtained.
  • Ensure that payments are correctly authorised.
  • Ensure purchase invoices are processed correctly on the accounting software.
Ensure that rent, insurance and other periodic payments are made and that proof of payment is obtained.

Preparation of supplier payment reports.

Check suppliers statements and deal with queries.

Collating receipts and data for funders to report how grants and donations are spent.


Banking and cash

  • Counting and banking money from donation boxes and other donations.
  • Ensure ongoing bank reconciliation completed.
  • Assist in preparing Gift aid returns.

Sales, income and collection of money

  • Create, send, and follow up on sales invoices
  • Collection of money and credit control

Payroll matters

  • Review and process staff reimbursement and expense claims.

Year end accounts and audit

  • Assist the Finance Director in drafting accounts and prepare books and documentation for the auditors.
  • Liaise with auditors and respond to queries.

General

  • Collect and enter data for various financial spreadsheets.
  • Assist in creating financial reports on a regular basis.
  • Adhere to the organisation's financial policies and procedures.
  • Answer question and provide assistance to stakeholders, customers, and suppliers as needed.
  • Attend finance department and organisationwide meetings, sometimes assisting with financial reporting to managers and senior colleagues.
  • Suggest changes or improvements to increase accuracy, efficiency, and cost reductions.
  • Support with production and revision of internal policies.
  • Carry out general administration tasks as required.

CANDIDATE PROFILE (FINANCE ASSISTANT - THE PIECE HALL TRUST)

ESSENTIAL EXPERIENCE

  • Selfmotivating and able to prioritise own workload to meet deadlines.
  • Demonstrable experience of effectively and efficiently supporting the key deliverables listed above
  • Excellent IT skills including MS Excel
  • Demonstrable experience of working in a similar role in a relevant sector, or recent experience in a related area
  • Experience of working on own initiative
  • Commitment to equal opportunities and community ethos
  • Willingness to undertake training and to develop new skills in response to the Trust's changing needs.

DESIRABLE EXPERIENCE

  • Experience of working in the charity sector
  • Experience of using Sage accounting package
  • Experience of raising sales ledger invoices and debt collection
