An exciting new vacancy has arisen in our Private Client department in Edinburgh for a Team Administrator, working principally with the Partner and their team in the provision of family office services.

This is an opportunity to gain exposure to a number of high-net-worth families with extremely varied and interesting circumstances, and to develop a rapport with the clients and their advisers.

There is an emphasis on cash management and administrative tasks, with the possibility to develop skills in wills/power of attorney drafting.


You will be responsible for

  • Client cash management
  • Track and arrange payment of one off and regular items on behalf of clients
  • Client account management, including maintaining sufficient cash balance for payments through preparation of monthly excel cash flow forecasts listing all incoming and outgoing funds
  • Assist with review of client cash raising requirements from investment portfolios, liaising with investment team and preparing proposals for clients
  • Maintain a monthly task calendar of regular known client tasks and remind feeearners of deadlines
  • Maintain an electronic archive of key legal and permanent documentation and provide to third parties as required
  • Assist with the preparation of fees and manage monthly fee timetable
  • Assist with AML/KYC information and assisting with internal compliance processes
  • Liaise directly with clients and their advisers by correspondence or telephone and seek to develop excellent working relationships
  • Prepare reports on clients' financial affairs, to include updating asset lists and permanent information and liaising with tax and investment teams for input
  • Arranging meetings with clients and other relevant advisers and assisting with the preparation and circulation of meeting packs

What you will need to proceed

  • Discrete and able to handle business, personal, and family information with the highest level of confidence
  • Genuine interest in and willingness to invest time in understanding the personal and business circumstances of our clients
  • Proficient in Microsoft Excel
  • Comfortable working with numbers and have a basic knowledge of cash management/bookkeeping
  • Previous exposure to trusts beneficial
  • An organiser, both personally and in scheduling tasks for the wider team
