Outline of role
To support the smooth delivery of the projects department and the admin needs of the Project Support team.
Main responsibilities
Reporting to the Projects Team Leader, pivotal aspects of your role will include;
- Coordinate the day to day project admin activities
- Ensure smooth delivery to meet client deadlines
- Use the most cost effective and client focused approach
- High standard of both external and internal communication
- Allocation of components using our inhouse stock system in line with the customer request and programme dates.
- Liaising with suppliers on a daily basis
- Scheme Quotations and schedule collation
- Budget monitoring ensuring order cover received, funds available to complete the job
- Workload planning for team
- Monitoring inbound and outbound supply ensuring supplier kit has arrived/despatched in line with programme requirements
- Issue resolution and progression reporting advising management/client of progression with suppliers, kit and workload
- Accountability for own outputs
- Data accuracy
- Cost analysis
- Support of projects team leader as required
- Maintaining spread sheets
- Accounting scheme costs ensuring costs are logged correctly, efficiently and within budget
- Checking of admin work including, picks produced and processes followed
- Authorising transport deliveries and collections
Knowledge/experience required
- Previous administrative experience in projects
- Strong organisational skills
- Strong IT skills and knowledge/experience with all MS office packages including Microsoft Excel
- SAGE experience
- Manage and prioritise a diverse workload
- Delivering reporting information to corporate timetable
- Internal progression reporting, this will include monthly statistic collation
- Monitor and adhere to key dates and deadlines this will include ensuring all stock allocated, transport arranged and lastminute requests completed within a timely manner
- Challenge inaccurate and or omitted information provided both internally and externally
- Problem solving under pressure
- Ability to present solutions by using your initiative and investigating where required
