Senior HR Administrator, Shoreham-by-Sea (Brighton) £30,000 (FTE) + benefits


Working for a global strategic engineering and environmental consultancy based in Shoreham-by-Sea (near Brighton), my client is looking for a Senior People Administrator to work on a full-time or part-time basis.


Reporting into the Head of People Services, we're looking for someone who has significant experience as a HR Administrator, has an improvement mindset, and is looking for their next role.


This is senior role within the People Administration team, helping to lead two other People Administrators and act as lead for the 'HR Helpdesk'.

Responsible for handling high volume administrative and transactional activities related to employee on/off boarding, leave management, compliance, records management, and retention.

Ensuring all enquiries are accurately addressed in a professional, efficient, timely manner.


This role requires a significant amount of interaction with complex HR systems and therefore the post holder must be a confident system user.


Responsibilities:


  • Leadership (not formally managing) of the People Administrators ('Helpdesk') ensuring delivery of support for employees and managers, which is efficient and effective.
  • Supporting the training and development of the People Administrators to ensure the team provide professional, high quality and compliant advice and responses in line with company policies and procedures.
  • Act as point of escalation, or direct the path of escalation, for queries which cannot be resolved on the Helpdesk
  • Train and develop the team to ensure they have the generalist HR knowledge, skills and capability to deal with queries appropriately at all times, using the systems in place.
  • Manage work demand, distribution, and delivery of the Helpdesk.
  • Ensure processes are fully mapped and documented and updated in line with legislative changes and best practice, and retained in the catalogue library.
  • Identify areas of continuous improvement or added value in relation to all HR transactional systems, processes and procedures, designing and delivering the required changes and escalating these as appropriate.
  • Provide Management Information on Helpdesk performance.
  • Respond to questions on administrative procedures and practices via multiple channels such as phone, case management system and live chat. Use systems to document and escalate as needed following the appropriate processes.
  • Prepare and disseminate contractual and company correspondence such as contract amendment letters, mail merges, reports.
  • Complete the processing of all employee change related actions including flexible working, maternity and other family friendly requests.
  • Contribute to the successful processing of payroll within the preset monthly schedule of activity, ensuring all systems updates are accurate and consistent with monthly deadlines.
  • Responsible for the integrity of HR Data within our HR Database and supporting systems
  • Educate employees of HR services available to them and encourages selfservice tools such as on the HR intranet and other systems as needed.
  • Identify and research incoming queries from employees.
  • Utilise multiple online systems to answer questions, complete requests, and ultimately resolve employee and HR needs.
  • Responsible for maintaining all compliance requirements of dedicated HR shared service processes.
  • Understand and utilise HR systems including the HRIS and the HR SharePoint including Self Service, Knowledge base and Case Management.
