This is a fixed term post for 12 months due to funding, working 37.5 hours each week Monday - Friday.


We are looking for the post holder to provide, efficient, accurate and high quality administrative support to the Endoscopy administrative team, ensuring a smooth booking process for patients attending the unit.

Team work is an essential part of this role.


The post holder will provide administrative/ reception duties to support the Endoscopy team across 3 sites as and when needed, which includes: admitting and discharging patients, contacting patients about upcoming appointments, entering patient details onto WPAS (Welsh Patient Management System) and EMS (Endoscopy Management System), answering telephone queries and communicating with patients, carers, families and members of staff and to maintain confidentiality at all times.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Undertake administrative tasks to agreed timescales and standards.
These include (List is not exhaustive or exclusive, examples only):

  • Undertake filing and photocopying as and when required
  • Ensure accurate admission, transfer and discharge of patients is recorded on the patient information system
  • Ensure all administrative duties are carried out for all clinics and procedures with the unit
  • Ensure that appropriate and correct information is sent to GPs in a timely manner
  • Admit and discharge patients from booked list
  • Appoint USC referral within the 10 day protocol wherever possible
  • Input new referral data on WPAS
  • Print off new referrals from WCP
  • Update vetted referrals daily on WPAS
  • Deal with cancellations and DNAs and rescheduling appointments, liaising with staff as necessary
  • Deal with enquiries via the telephone or in person from staff and patients in a professional and courteous manner
  • All mail to be opened and actioned daily and distribute /redirect mail as appropriate
