Do you have administrative skills and been considering working for the NHS? We are looking for an part-time administrator to cover a 12 month maternity leave from start of April 2023.

We are a friendly and fun Occupational Therapy team.

We are looking for an experienced person with an excellent level of administration,interpersonal and organisational skills.

You will need to be computer literate with experience of Microsoft Woft and Excel and will be trained on in house systems.


We are looking for someone positive and compassionate with an excellent phone manner as your job will involve phone enquiries from patients, family members and professionals.

The hours are 15.5 to be worked over a minimum of 3 days (details are negotiable but with some spread across a week)


We are based away from the main hospital building so it is a fairly quiet office for much of the day.


The Team Administrator role includes:


  • The ability to manage and prioritise own workload in order to assist with the smooth running of the OT service. Knowledge of working within an NHS environment would be advantageous.
  • Minute taking ability
  • Be a key point of contact for a range of queries and requests for information.
  • To be courteous and supportive when communicating with hospital patients and staff and the general public.
  • Understanding and enforcing the Trust's confidentiality policy.
  • Providing cover for the other administrative staff within the OT service when requested, in order to cover Annual leave or Sickness absence, this may be at the Royal Sussex County Hospital (Brighton) or Brighton General Hospital (Brighton).

  • Undertake word processing/photocopying of documents for OT staff e

g:
letters, spreadsheets, monthly Payroll returns, agendas & minutes (using medical terminology where necessary).

  • Taking and recording details of telephone calls in an efficient and courteous manner and ensuring these are forwarded to the appropriate person/dept.
  • Minute taking.
  • To maintain manual and computerised filing systems of staff/patient information and correspondence including imputing of data/stats and outcoming for Rheumatology OT service. Also to assist Rheumatology OT with appointment booking/management.
  • To be involved with recording/reporting of staff details e

g:
sickness absence, service training, Annual leave and other absences using Health Roster.

  • To order and assist with maintaining adequate supplies of Office stationary, clinical Infection control items or any other purchases required.
  • To use and help maintain photocopiers (report any problems to the Service provider/order and change cartridges).
  • To be responsible for documentation relating to the OT pool vehicles and liaise with Transport dept.
  • To be involved in general filing and storage of varied paperwork and adhere to current UHS NHS Trust Records Management Policy.
  • Liaising directly with other clinical professionals and voluntary/statutory organisations.

11. To be involved with the Estates dept


reporting requests:

e.g. light bulbs replaced, new electrical appliances need PAT testing.

  • To be involved in maintaining a tidy and safe work environment e.g. contact cleaning provider when required and also ensuring confidential waste paper is collected regularly.
  • To be aware of departmental Fire safety procedure.
