This is an exciting opportunity for an administrator to develop their career in a busy Operational environment.
This post is suitable for enthusiastic and meticulously organised applicants, with relevant administrative experience within an education setting to provide high level support to the Department of Materials within the Central Administration Team.
The post holder will be a key contributor to the efficient administration of the Department of Materials supporting the purchasing, finance and recruitment processes.
The post holder will provide excellent customer service and support ongoing excellence in finance, staffing and purchasing management in the department.
Duties and responsibilities:

Procurement
-
Providing a comprehensive purchasing administrative service to the Department of Materials, including academic and teaching staff, research staff, research students, and Professional, Technical and Operational staff. Conducting all established compliance checks to ensure purchase orders are raised in accordance with College purchasing policies. These checks include, but are not limited to, the description of products, account codes, supplier details, currency and VAT, and available balances.
- Approving purchase orders up to a defined value, ensuring orders over a set threshold have been approved by the Purchasing Team.
Raising Virtual Credit Cards for the staff and students as requested in a timely manner, including travel arrangements (flights, hotels, train bookings, and conference bookings) as required.
- Training buyers (staff and students) to raise purchase orders:
- This will involve authorising access to correct departmental and project account codes on the College purchasing system.
- Once accounts codes are activated, training staff and students to raise their own purchase orders.
- Supporting staff and students with their initial enquiries and encouraging staff and students to use departmental purchasing document and videos for further guidance and referencing.
Recruitment and AppointmentsUsing College recruitment systems, circulating short lists to the recruiting chair and Resource Manager after the post-closing dates.
- Placing job descriptions and adverts, after checking documents on to the College recruitment systems, as well as arranging to place ads on
Essential requirements:
- 'A' Levels or equivalent qualification with a minimum of GCSE grade C in English and Maths and relevant experience
- Knowledge & Experience
- Demonstrable administrative experience within a large organisation, preferably within Higher Education.
- Experience of working in a clientdriven environment.
- Competent approach to an understanding of using various established tools and online system to ensure accuracy of the output
- An understanding of the UK Higher Education sector.
- Experience of working with a variety of stakeholders which may include students, staff, public organisations and private industry.
- Deliver a range of administrative and/or customer services in support of existing systems or processes to an agreed quality standard and specification
