  • Job Purpose
  • Provide coordination, commercial and administrative support and control for the department
Reporting lines and interactions

  • Hierarchically reports to: OneROV Manager

Operationally reports to:
OneROV Manager / Commercial Manager


Directly supervises:
N/A

Key interactions (internally, externally): OneROV Manager, OneFleet Commercial, OneROV operations team and Operations Manager, OneROV technical team and Technical Manager, accounts team, document control team and finance billings team
Job Scope

  • Project controls support to the department, ensuring efficient operation of OneROV document preparation, communications, billings, invoices, reports, statistics, other correspondence, maintain training records and calendars, control department oncall function, organisation and planning, maintaining document control.

Main accountabilities:


Commercial / Finance

  • OneROV rental tooling billing
  • Raising, processing, and logging of all OneROV related ICPOs
  • Tracking OneROV OPEX spend across the fleet and providing monthly spend updates to the department
  • Development of OneROV commercial / financial dashboards to track OneROV financial performance
  • Dealing with project enquires and disputes
  • ROV Insurance annual actuals and forecasts
  • Manage OneROV 3rd party repairs including but not limited to.
Receive and log requests for service and verify if repair can be actioned

  • Generate and issue inspection and repair quotes along with associated paperwork
  • Generate and issue repair invoices, chase and verify payment
  • Maintain a track of 3rd party repairs, paperwork, revenue, outstanding invoices, costs etc.
  • Direct support to OneFleet Commercial department including but not limited to:
PO processing

  • Assisting with coding queries and resolution
  • Other duties as requested by OneFleet Commercial Manager

QHSE and Risk Management

  • Monitor, log, track, and record OneROV QHSE performance
  • Disseminate and log QHSE information around the team
  • Assist in administration of department risk register through the risk management system
  • Record and track ROV breakdown / availability statistics and share with the department

Document Control

  • Control of all OneROV technical and operational documentation
  • Tracking and logging OneROV audits (includes monitoring all outstanding actions)
  • Tracking, maintaining, and logging OneROV certification and due dates
  • Compiling reports, memo's, minutes, departmental presentations, and documents for OneROV

General administration

  • Tracking of all internal training courses completed by OneROV (onshore)
  • Tracking and organising OGUK and survival appointments for OneROV department
  • Booking of travel for OneROV and Fleet Projects department
  • Organising annual OneROV seminars / conferences
  • Implementation and administration of all OneROV management systems
  • Administration of OneROV SharePoint sites and dashboards

Qualifications (professional, technical, academic):


  • Essential:
Similar work experience and/or formal secretarial or financial / commercial qualification

  • Good level of knowledge of a variety of software packages
  • Preferred:
Knowledge of GEOS, Infor EAM, PowerBI and SharePoint

  • Knowledge of ROV and or asset billing, statistical analysis, document managing

Typical background and experience required:


  • Essential:
  • Good interpersonal and communication skills, both written and oral
  • Good administrative and time management skills
  • Experience of busy operational department
  • A team player with a flexible approach to work is preferred, as out of hours
- working may be required

  • Ability to work on own initiative and deliver to tight deadlines
  • Nice to have:
  • Experience of similar business activity
  • HNC or equivalent in business, finance, or secretarial studies
  • Experience and training in commercial and finance activities
  • Willing and prepared to increase knowledge and skills
