An opportunity has arisen for a Medical Secretary to join our team at Abbey Meads Medical Practice.

We are looking for enthusiastic and experienced Medical Secretary to join our busy, friendly GP Practice.

We are looking for someone to work 27.5 hours per week.


Main duties of the job


Previous experience working within a GP practice is preferred and knowledge of SystmOne would be an advantage, however full training will be provided.

Purpose of the Job:


To provide general secretarial support to the doctors and health professionals involving word processing and audio typing skills with general clerical work over two sites - Abbey Meads Medical Practice and branch site Penhill Surgery.

The main purpose of the job is to undertake transcription and typing of referral letters as dictated by clinicians. Currently this involves audio typing, completion of electronic referral forms and adding electronic referrals to the system as required.

**Job responsibilities:
- **To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports and patient referrals.

To assist the Practice and Business Manager and PA with clerical and administrative duties

To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.


To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries relating to referrals.

To assist with the gathering of statistics and information when required.

To provide cover for members of the secretarial team during periods of sickness and annual leave.

To ensure effective communication between patients and all members of the primary health care team to collate, process and record information in accordance with practice procedures

To attend and contribute to practice meetings

The post-holder will strive to maintain quality within the practice, and will:

  • Assess own performance and take accountability for own actions, either directly or under supervision
  • Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the teams performance
  • Work effectively with individuals in other agencies to meet patients needs
  • Effectively manage own time, workload and resources

Communication:

The post-holder should recognise the importance of effective communication within the team and will strive to:

  • Communicate effectively with other team members
  • Communicate effectively with patients and carers
  • Recognise peoples needs for alternative methods of communication and respond accordingly

Contribution to the implementation of services:

The post-holder will:

  • Be willing to support colleagues on reception in times of need and as requested by the practice management team (Practice & Business Manager, PA, Operations Manager, Reception Supervisors)
  • Willing to undertake any necessary training on reception to enable continuity of service
  • Undertake Data entry

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Breach of this confidence may result in dismissal.

The post holder will be expected to promote the safety and well being of staff and patients, as defined in the practice Health and Safety Policy, and will report any untoward occurrences or concerns.


The post holder will ensure that patients, other staff and members of the public are not put at risk by any omission or action on their part.
