  • We are currently recruiting for a temporary Programme Coordinator Assistant to work on site at one of our centrally based eepartments starting ASAP for approx 12 weeks working 29 hrs p/w and paying £15.

24 p/h- Duties:

Programme administration

  • Prepare for each upcoming academic year, with input from the Course Directors and other staff, by maintaining the Course Handbook incorporating Divisional guidelines, course outlines, reading lists and timetables. Managing the induction programme and processes; and taking responsibility for maintaining the MSc ADH Canvas site (virtual learning environment), and updating course materials; including ORLO (Oxford Reading Lists Online) entries, continuous development and improvement of the site in consultation with the Canvas Team in IT Services as appropriate.
  • Ensuring that teaching weeks run smoothly: resolving any issues in liaison with the department's IT and Building Management teams in necessary, and by maintaining strong working relationships with the programme team and regular close consultation with the programme lead;
  • Managing the student evaluation feedback process by sending, monitoring and analysing evaluation surveys and input from student representatives; produce reports for consideration by the course governance committee(s). Keeping and maintaining accurate student files in compliance with GDPR.
  • Serve as Secretary for the programme's governance committees; organising a timely schedule of meetings, preparing and circulating agendas and minutes in collaboration with the committee Chairs; actively participating in the meetings in an advisory capacity regarding student matters, University regulations and procedures etc; keeping minutes and acting upon recommendations as required; Providing courserelated information and reports as required by the Graduate Studies Committee and Medical Sciences Division.
  • Managing daytoday financial administration (e.g. expense claims, purchase orders, teaching payments for guest contributors), assisting the Graduate Studies Officer/Head of Programmes with budget preparation and forecasting, and liaising with the Department's Finance Team;
  • Keeping informed on and providing advice on University and departmental policies and procedures, exam regulations and conventions, and course requirements; taking the lead with ongoing development and implementation of effective working systems for the MSc ADH to ensure regulatory compliance and procedural efficiency;

Examinations and assessments

  • Manage the assignment submission processes using the university system, Inspera; including ensuring relevant staff have access to students' coursework assessments and feedback;
  • Supporting the administration of the MSc Exam Board; advising and supporting the Chair of Examiners on all aspects of the examinations; managing and administering the exams process including coordinating with administrative colleagues in Examination Schools and liaising closely with academic colleagues within the Department and externally.

Communications

  • The initial point of contact for the MSc ADH programme, dealing with enquiries from students, colleagues and academics and providing specialist advice and guidance;
  • Managing onboarding communications with the new cohort on the lead up to the programme start;

  • Essential Criteria

  • Direct proven experience in Programme management or Programme Coordination
  • Experience of working within Higher Education
