Membership Coordinator, an educational charity and research institute based in Central London, 2 month temporary assignment, £14-15 per hour plus holiday pay.


Our client, an educational charity and research institute championing British art is looking for a Membership Coordinator, for a two month period.

A hybrid work pattern is being worked currently, with 2 days in the office. The role will be in support ofthe effective delivery and ongoing development of the organisation's networks.

The main duties of the Membership Coordinator role are:

  • With Manager, manage membership databases for all the networks
  • Request and process Member profiles, ensuring information is correct, update the online Member directory
  • Dealing with general enquiries from Members and others interested in the networks
  • Provide support for the planning and delivery of networks events and activities, including producing itineraries and resources, organising travel and accommodation, AV and other services
  • Support the administration of residential programmes run through the networks, including booking transport, accommodation AV and other services
  • Monitor the calendar of events posted on websites, updating and ensuring that events are posted
  • Work with team and external evaluators in preparing and sending feedback and diversity monitoring surveys and collating responses
  • Work events outside of office hours, agreed in advance and when required
  • Support Manager in preparing and updating information on the networks and their activities for website
  • Liaising with the external web developer to ensure the maintenance and smooth running of various websites
  • Edit and update website, including preparing for publication content produced from various sources
  • Maintain the online Member directory on the website, including soliciting profiles from Members and editing these for publication
  • Work with the digital team in developing content for network marketing and online presence
  • Working with the team to deliver and develop social media presence and marketing mechanisms
  • Track website analytics for the website and produce reports
  • Working to manage the workplan, ensuring it is kept up to date and communicated in team meetings
  • Schedule regular meetings, inc. internal team meetings, management team and steering group meetings
  • With the Manager, schedule and attend meetings with the convenors for networks
  • Support the team in the preparation of papers and other materials for the steering group
  • Produce detailed meeting notes/minutes as required for all networksrelated meetings
  • Maintain accurate and uptodate lists of contacts and suppliers
  • Manage commitment logs for all network financial transactions
  • Process invoices/reimbursements due to be paid from funds
  • Support the Networks Manager in creating budget forecasts for events and activities
Skills and experience

  • Proven organisational & timemanagement skills, able to meet deadlines whilst with attention to detail
  • Experience supporting a team with administration and the organisation of events
  • Good numerical skills and written communication skills
  • Adaptable and able to remain calm and focused while working under pressure
  • Excellent interpersonal and communication skills with colleagues and external contacts
  • Understanding of the principles of equality and diversity at work
  • A collaborative approach to team working as well as proven ability to work proactively and independently
  • Be prepared to work remotely or onsite in London as circumstances demand
