THE POSITION:
We are looking for a Project Administrator (Fire Safety Consultancy) to join our exceptional Operation Team.

This is progressive role in a small but rapidly growing company, and it is likely to develop following discussion and agreement.

The principle responsibility of the role is to oversee and co-ordinate the workload coming in from specific clients.

The aim of the role will be to understand the progress of each workstream, to make sure deadlines are understood and met on both sides, to organise information as required and to ensure efficient support to the team.

RESPONSIBILITIES:

  • Support the Project team with project administration such as booking in site visits.
  • Updating our project management database with key project information such as client details, project information, setting up new enquiries, updating live projects as they progress.
  • Upload/download project documentation and file.
  • Provide administrative support to the team, such as postage, phones, scanning, binding, filing as required.
  • Format reports with attention to detail and submit to clients.
  • Provide support to colleagues with respect to purchasing, travel, hotels etc.
  • Capture and accurately record invoicing details and where necessary PO numbers for all projects.
  • To grow and develop as an industry professional and as an individual.
  • To monitor projects as they progress and have up to date information available.
  • Supporting project managers to prepare draft fee proposals.
  • To undertake work where within capabilities, or brief and allocate competent resources as appropriate.
  • To allocate competent resources to particular tasks and oversee delivery to the end client.
  • To identify opportunities to grow the company with new or existing clients.
  • To support colleagues as required.
  • Periodic housekeeping of the project management system to ensure the best possible data is available to the team.
  • To support the finance administratively from time to time to help them achieve their objectives.
  • Maintaining project documentation, filing correctly onto SharePoint.
  • Ensuring we are compliant with Data Protection Regulations and working to ensure our information storage, retention and security is in line with requirements.
  • Provide administrative support for completion of tenders and company competency questionnaires.
  • Ensure records and filing are maintained to ensure the Companies Quality Procedures, service levels and contractual requirements are being met.
  • To communicate effectively (verbally, writing and electronically) to meet the job purpose.
  • Maintain a positive team environment to promote the overall interests of the company without regard to sectional or divisional boundaries.
  • To ensure that when entering site, all Health and Safety regulations are strictly complied with and that all protective/safety equipment is fully utilised.
  • To operate within the Ashton Fires terms and conditions, policies and quality assurance system.
  • To undertake other duties, within the competence of the post holder, as may be reasonably required from time to time.

We offer an excellent salary between £24,000-£27,000 depending on the experience with generous holiday entitlement. You will be working 37.5 hours per week (Monday
