Administrator Nicotine and Smoking Cessation Service

2x 20 hours posts

£17,200 to £19,760 (pro rata)

Job Purpose:


The Nicotine and Smoking Cessation service provides Tobacco Prevention and Stop Smoking Services throughout Sandwell in a variety of settings.

The post holder will support the smooth operation of a range of support processes.

These will include scheduling process, clinic booking, reporting, invoicing, stock management of promotional material, service delivery consumables and other office requirements.


The role is key to the effectiveness and efficient functioning of the service, therefore will require robust organisational, communication skills and a positive approach to customer service.


Duties and Responsibilities

  • Take calls from clients and deal with clients' needs accordingly this will include providing robust Brief Intervention to clients who may have been referred to the service.
  • Take telephone calls from other health professionals.
  • Providing professional administration services to clients
  • Manage and maintain confidential patient files on a database as required
  • Book appointments for clients or direct them to the appropriate advisor
  • Record client data accurately on appropriate service database
  • Stock management, ordering and distribution of promotional material
  • Stock management of service consumables
  • Prepare computerised documents and reports as required
  • Organise meetings including the taking of, and distribution of minutes
  • Organisation of promotional and training events including the preparation of resources
  • Take weekly stock check of consumables and ordering
  • Filing and archiving client records
  • Take meeting minutes, type and distribute as required
  • General administration (record keeping, filing etc.)
  • Ensure client referrals are dealt within a reasonable to time frame which meets service deliverables
  • Participate in events as necessary
  • Provide telephone support where necessary to clients who may be vulnerable to relapsing back to smoking.
  • Take part in promotional events as required. This may require working during the evening and at weekend.

The postholder must not; either during the course of their employment, or following termination of their employment, disclose any information relating to service users or employees, or of the lawful business practices, of the organisation.

The postholder will be required, when and where appropriate to the role, to comply with the processing of requests under the Freedom of Information Act 2000


The postholder must comply with ABL's policies that protect the information assets of the organisation from unauthorised disclosure, modification, destruction, inappropriate access or use.


The postholder will be responsible for maintaining the clinical and/or corporate records that fall within the remit of this role to the standards in ABL's records management policies, and data quality processes and standards.


Health & Safety


Compliance with the Health & Safety at Work Act the postholder is required to fulfil a proactive role towards the management of risk in all of their actions.

This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.

The postholder must attend any training that is identified as mandatory to their role.
