Filey Surgery is an innovative & friendly practice, caring for approx. 9000 patients. We aim to provide high quality healthcare to the people of Filey and its surrounding district. All of our staff are dedicated to offering a professional service at all times.This post is for 37.5 hours per week and the working pattern will be Monday-Friday 09:00-17:00.
Purpose of the role:
We are looking for an enthusiastic and reliable person to work within our Data Administration Department.
The role includes administration of correspondence relating to patients and the safe and efficient processing of data, the management of call and recall processes and other administrative tasks relating to patient care.
The applicant will be able to work under their own initiative and be able to contribute to the overall work of the practice team.
Major Duties & Responsibilities of the role:
Data quality
- Maintain effective security of data at all times
- Carry out system searches as requested
- Support the team in the effective use of searches, audits and recalls
- Support the team in the use of the clinical system
- Provide guidance in trouble shooting when requested
- Configure searches and interpret data for audit purposes and assist with the continuous improvement of processes for data quality
- Collate the required data for reporting purposes
- Assist with the administrative elements of QOF, liaising with GPs, Nursing staff and administrators
- Input and extract data as required to support practice reports
- Managing the clinical system, ensuring IT security and IG compliance at all times
- Reviewing and updating clinical templates ensuring they relate to current practice
- Initiate data quality improvement projects.
Call and Recall system
- Manage an effective call and recall system.
- Process recall text messages and letters as assigned to the role
- Ensure data quality of recall system by checking patients' records for recalls relevant to their conditions, and ensuring new diagnoses have a recall added for the management of the condition.
Other administrative duties
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Maintain a clean, tidy, effective working area at all times
- Input data into the patients healthcare records as necessary
- Support all clinical staff with general administrative tasks as requested
Assistance/backfill may be required to support the Patient Services Team
This may include:
- Incoming correspondence
- Scanning of patient related documentation and attaching scanned documents to patients healthcare records.
- Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed actions
- Onward allocation of these letters to appropriate clinician/other admin members for action.
- Assisting with onward management and administration of actions added by clinicians and other staff members.
- Allocation of electronic letters to appropriate clinician, (bearing in mind absences from the practice due to working days, holidays and sickness), via SystmOne workflow. Managing this correspondence with coding and completion where appropriate.

- Input data into the patients healthcare records as necessary
Electronic results
- Allocation of electronic results received to appropriate clinician (bearing in mind absences from the practice due to working days, holidays and sickness), via SystmOne workflow.

Person Specification
Essential Qualifications
Educated to GCSE level or equivalent
Desirable Qualifications
GCSE Mathematics & English (C or above)

- Experience of working with the general public
- Experience of establishing effective office administrative systems
