Aim & Purpose of the Role:
To ensure the accurate and timely processing of both mandatory and voluntary Corporate Actions.
To ensure all UK & Overseas Dividends are reconciled and processed to client accounts in a timely manner.
To provide support and resolve queries from Investment Managers while liaising with various custodians.
Key Accountabilities/Responsibilities:
- Capture information pertaining to voluntary and mandatory corporate actions and company meetings. Update the firms systems accordingly ensuring clients are provided with all salient details as soon as possible.
- Reconcile entitlements and client elections.
- Send instructions on voluntary corporate actions and company meetings to our custodians.
- Process all corporate actions impacting securities held by our clients.
- Process requests to participate in placings ensuring the required documentation is completed and instructions are sent to, and settle with, the counterparty.
- Assist with the closure of corporate action files ensuring the event has been correctly processed and all necessary backup documentation created and retained in the event folder.
- Ensure disclosure requests received under section 793 and SRDII are captured and responded to within the stated or regulatory deadline.
- Reconcile and process all income payable to our clients including cash, accumulation and reinvestments as per the team's procedures.
- Ensure tax vouchers from registrars/custodians (physical or electronic) are received, processed and correctly filed.
- Investigate and resolve all income related reconciliation breaks, including unit differences, along with any other income related queries.
- Identify, manage and process dividend claims.
- Instruct and process dividend related FXs.
- Record, bank and process dividend cheques.
- Ensure the teams procedure documents are complete and accurately reflect the current process.
- Assist with the annual procedure document review.
- Be aware of the team controls. Highlight issues where you believe processes lack sufficient control or the existing control is no longer fit for purpose as processes and business requirements change.
- Suggest system/process enhancements and/or changes to improve current processes.
- Strive to reach maximum scores on the team's skills matrix. Escalate any issues or concerns as they arise.
Person Specification/Skills:
- Selfstarter with a dynamic, proactive "can do" attitude.
- Enjoys working as part of a team.
- Highly organised with a strong attention to detail, with particular focus on accuracy and numeracy ability.
- Good written and verbal communicator.
- Be able to work effectively during pressure periods while prioritising and multitasking.
Education/Experience:
- Previous experience working in a Corporate Actions or Dividends Team within a financial institution.
- Understand and interpret complex Corporate Action documentation.
- Good knowledge of Outlook, Excel & Word.
- Prepared and able to learn a number of systems.
- Experience using the CREST system and a good understanding of using Custodian services.
- Working to tight deadlines under pressure.
- Willing to share knowledge effectively and show a flexible work approach within a team.
- Selfsufficient with the ability to prioritise and multitask.
