1 JOB DETAILS*Job Title: Patient Advisor

2 JOB PURPOSE*- Assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
- Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Undertake a variety of administrative duties to assist in the smooth running of the Practice including provision of secretarial and clerical support to clinical staff and other members of the primary care healthcare team.
3 JOB RESPONSIBILITIES*The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. These duties must be carried out whilst adhering to practice protocols. Duties may be varied from time to time under the direction of the Practice Manager, depending on current practice workload and staffing levels
- Organise your own workload and liaising with other members of admin team
- Administration tasks as allocated by Practice Manager or GP
- Dealing with all aspects of registrations
- Opening up/locking up of Practice premises and maintaining security throughout the working day
- Ordering repeat prescriptions and issuing acute prescriptions when instructed by GP
- Attend internal and external training courses as required
- Typing of referrals via SCI Gateway or EMIS Templates
- Manage all patient requests and ensure patients are directed to the most appropriate healthcare profession e.g. Pharmacy, Optician, Dentist or other healthcare professionals attached to the practice in a timely and courteous manner.
- Deal with workflow and notify patients when instructed by the GP or other members of the primary care team of results and entering clinical information to EMIS as requested.
- Maintain stock of office supplies and reorder when required
- Keep the reception, office area and waiting area tidy and free of obstructions and clutter and highlight any health and safety issues to the Practice Manager.
- Adhere to Data Protection Act 2018 regulation and report any breaches
- Ensure you are familiar with all practice policies and procedures and that these are adhered to
ORGANISATIONAL POSITION
Members of the Patient Advisor team report to the Practice Manager.
5 SYSTEMS AND EQUIPMENT
Sound knowledge of all systems used within the practice
- EMIS
- Microsoft office 365 packages
- Docman
6 COMMUNICATIONS AND WORKING RELATIONSHIPS
Internal
- Communicate as appropriately with various people face to face, on telephone or in written and electronic correspondence respecting the privacy of patients at all time
- Ensure confidentiality is maintained in all forms of communication
- Communication with distressed, anxious or worried patients/relatives
- Unpredictable exposure to verbal/physical aggression on occasion
External
- Communicate with hospitals and other relevant agencies regarding the management of patient care
