Accountable to:Operational Manager


Holidays:5.6 weeks per annum including Bank/Public Holidays.


Purpose of the job:


  • In conjunction with the Operational Manager, provide efficient administration support to the Chief Executive and Residential Services.
  • Provide parttime PA support to the Chief Executive.
  • To assist in the maintenance of accurate and efficient records for Residents.
  • To assist in providing excellent customer service.
  • To uphold Deafway's policies in respect of providing a culturally Deaf service including appropriate communication, recognising varying residents' and staff needs.

General Duties:


  • To assist the Operational Manager in the daytoday administrative procedures.
  • To maintain the Chief Executives diary and ensure that all meetings and visits are scheduled as requested.
  • To provide secretarial support which will include audio typing, note taking, taking of minutes as requested by the Operational Manager or Chief Executive.
  • To work to all organisational and departmental policies and procedures, guidelines and standards required, as indicated in the staff handbooks and policy documents.
  • To be aware of and ensure confidentiality of information, including the Data Protection Act and GDPR.
  • To maintain an efficient and organised electronic filing system.
  • To undertake routine administrative tasks which will include the creation and maintenance of data bases, stationery orders, and organising the mail both internal and external.
  • To assist in ensuring that Residential Services provide an efficient, effective, and welcoming reception and excellent customer service to all visitors, managers, staff and service users.
  • To produce staff memos and other literature in support of the Chief Executive and Operational Manager.
  • To administer the preparation of staff meetings and to participate as required.
  • To assist in promoting and maintaining their own and others Health and Safety and security as defined in the Health and Safety Policy, Fire Procedure and updated practices and procedures as they become necessary.
  • To assist the Operational Manager in ensuring new staff complete full induction and complete induction checklists, as required.
  • To work effectively as part of the team ensuring effective working relationships.
  • To support the equality, diversity and rights of residents, clients, and colleagues.
  • To act in a way that recognises the importance of peoples' rights, interpreting them in a way that is consistent with Deafway procedures and policies, and current legislation.
  • To respect the privacy, dignity, needs and beliefs of residents/clients and colleagues, behaving in a manner which is nonjudgmental.
  • To participate and complete in all mandatory training programme implemented by Deafway as part of this employment.
  • To attend supervision sessions with the Operational Manager.
  • To carry out any other duties as reasonably required by the Operational Manager.
