Service Administrator


PLACE OF WORK:
Office, Redburn Road, Westerhope


HOURS: 37.5 per Week (8:30-17:00)


SALARIED OR HOURLY:
Hourly Rate £10 - £13 (Depending on Skills/Experience)


PAY PERIOD:
Monthly


REPORTS TO:
Service Team Leader


MAIN PURPOSE AND SCOPE OF THE JOB


As an Administrator for the Service Department, you will be responsible for supporting the work of the department in relation to Planned Service, Installation and Responsive Repairs.

You will be answering customer calls and engineer calls.


DUTIES AND KEY RESPONSIBILITIES

Duties will involve but are not limited to:

  • First point of contact for incoming telephone calls
  • Costing engineer's reports
  • Purchase order requests to clients inclusive of follow up
  • Weekly liaison with clients on planned works
  • Generating client quotations inclusive of follow up
  • Process any incoming quotations including the purchase of parts
  • Verification of engineer's weekly timesheets
  • Issue engineers job sheets
  • Supporting with invoicing
  • Process returns to suppliers
  • Completion & submission of site induction information
  • Organising accommodation for engineers
  • Coordinating courier collections & site access equipment
  • Monitor & Manage van fleet
  • Prepare engineers allowances

SKILLS /TRAINING

  • Experienced Administration Assistant.
  • Highly organised
  • Excellent communication skills: written and verbal
  • Excellent decision making ability
  • Ability to thrive under pressure
  • Ability to multitask
  • Experience in Microsoft office
  • Logistic knowledge advantageous but not essential
  • Understanding of CRM systems desirable but not essential
