1. Job Purpose

Job Summary:


To provide and supervise the provision of efficient, effective and accurate dispensing of medication to the patients of the surgery.

Must hold NVQ 2 in dispensing

Minimum 16 hours per week


2. Specific Responsibilities

Job Responsibilities:

  • Participate in production and review of SOPs
  • Completion of audits and collating information for submission for Dispensing Services Quality Scheme
  • Undertaking DRUMS
  • Participation in and taking minutes of dispensary meetings
Dispensing

  • Dispensing acute prescriptions.
  • Ensuring that all medicines and appliances dispensed are checked against the prescription and whenever there is doubt about the appropriateness of the item, or about the dose or labelling instructions to check with the authorising doctor.
  • To ensure that all monies received or handled on behalf of the Practice are appropriately stored and banked and a record kept of all financial transactions.
  • Updating patients' repeat screens on Doctors' instructions.
  • Dispensing private prescriptions.
  • Checking colleagues' dispensing.
  • Liaising with the nursing team regularly to ensure the process for the effective flow of prescriptions for dressings and injections is maintained.
  • Ensuring the Dispensary area remains clean and tidy in accordance with the cleaning schedule.
Prescriptions

  • Handing out prescriptions and collecting charges when appropriate.
  • Taking prescription repeats over the telephone, electronically and face to face.
  • Collecting charges for privately prescribed medications.
  • Collecting prescriptions and faxed medication request forms from reception.
  • Sorting, stamping and endorsing prescriptions.
  • Completing backs of prescriptions.
  • Generating prescriptions.
  • Endorsing all prescription forms as appropriate, collate and forward the forms in a secure manner to the PPA for processing and reimbursement.
  • To notify the authorising doctor of any FP10 returns/feedback from the PPA so that any appropriate remedial action may be taken.
Stock Control

  • Ordering appropriate quantities of goods via the wholesaler's computer link.
  • Checking goods as and when they are delivered and recording generic details.
  • Returning incorrect goods to the wholesalers.
  • Stocking shelves, refrigerators and other storage areas using rotation method.
  • Removing 'out of date' stock from the shelves, refrigerators and other storage areas.
  • Disposal of returned unused medicines.
  • Ensuring that drugs are stored in an appropriate manner in accordance with the accompanying instructions.
  • To ensure that refrigerated items are stored at the appropriate temperature and to maintain a temperature control record/logbook.
  • Take prompt action in response to any drug alert bulletins that may be received from time to time.

3. Quality Standards

  • Be fully aware of and monitor outcomes of workload within the Dispensary area, ensuring high level of quality of service delivered.
  • Have a full understanding of the telephone and appointments systems both during and out of surgery hours.
  • Be fully conversant with Practice Policies and Procedures.
  • Participate in Practice meetings, giving feedback or contributing to systems or plans aimed to improve patient experience.
  • Be aware of and meet the requirements of the GMS Contract and QOF related tasks.

4. Customer Service

  • Provide advice and support to patients and public who contact the Practice, updating Practice Manager of any important issues whenever necessary.
  • Deal with challenging telephone and facetoface conversations in an empathetic manner.
  • Liaise with other organisations and clinicians in a professional manner at all times ensuring the image of the Practice is not compromised.

5. Equality and Diversity

  • Ensure that no discrimination is shown in dealings with patients, the public or colleagues on the grounds of race, sex, sexual orientation, culture, religion, age or disability.

6. Logistics

  • Work constructively with colleagues to ensure adequate Dispensing staffing levels, coordinating annual leave and other requests to maintain an effective service.

7. Information

  • Use of the Practice administrative and clinical systems in accordance with internal and external policies and guidelines, encompassing relevant legislation.
  • Handle patient and Practice sensitive information in strict confidence, ensuring any information for shredding is disposed of correctly.
  • Ensure data handling collation and storage is undertaken in line with statutory and Practice guidance, Data Protection Act, General Data Protection Regulation, Caldicott Guardian and Freedom of Information.

8. Communication
The post-holder should recognise the importance of effective communication within the team and will strive to:
