Our client, based in York, is looking to recruit a Legal Secretary to join their team, on a permanent, full time basis.
Main Duties and Responsibilities will include:
- Efficiently and promptly dealing with typing of documents and correspondence
- Efficiently and promptly dealing with administrative tasks associated with feeearners files
- Managing paper and online filing accurately and in a timely manner
- Ensuring files are stored and retrieved in the correct manner and files are maintained in a neat and tidy order
- Dealing with incoming and outgoing post, correctly differentiating between DX post and Royal Mail post
- Photocopying documents to the required standard
- Opening files, making initial calls to clients prior to file opening to obtain any missing information and explaining the communications procedure (who to contact etc)
- Preparing Financial statements and Finance chits for checking/signature by Fee Earner
- Deal professionally with clients, colleagues and other professional agencies on the telephone and in person
- Accurately record messages and forward them to the appropriate person without delay
- Make appointments, arrange meetings and maintain an up to date Outlook diary for team members
- Provide fee earners and clients with refreshments during interviews as required
- Ensure the confidentiality and security of all the firm's and client's documentation and/or information.
- Ensure compliance with the Firm's Lexcel policies
- Ensure all relevant Company policies and procedures are followed
