Description

General Practice integrated mental health service (GPimhs) comprises of small teams based across several GP Practices and are aimed at addressing the needs of adults who frequently attend their GP with serious/significant mental health needs that are not being met elsewhere.

Having already successfully mobilised new services in a number of Primary Care Networks (PCNs
- which are partnerships of GP Practices) across Surrey Heartlands, we have received additional funding to enable us to expand this excellent service to other PCNs.

This is an exciting opportunity for an enthusiastic Administrator to join the GPimhs Team in West of Waverley PCN.


The current Vacancy is a Permanent, Full-Time (37.5 Hrs, mainly 9 am - 5 pm, Mon-Fri) role, requiring working from the GP Practice/s, nearby SABP Hubs or on rare occasions remotely from home.


The role is suitable for someone who is able to co-ordinate work effectively and provide support, motivation and guidance to other team members and passionate about providing excellent customer service.

Job Overview


To act as the Administrator for General Practice Integrated Mental Health Services (GPimhs) for the Primary Care Network (Group of GP Practices in an area).


Suitable for someone who is able to co-ordinate work effectively and provide support, motivation and guidance to other team members.

Suitable for someone who is passionate about providing excellent customer service.

Key Responsibilities

  • To hold a leadership role with supporting the GPimhs/MHICS leadership team in representing administrators views
  • To be a nominated champion user for the EMIS/SystmOne clinical record systems
  • To conduct administrator system audits for the local PCNs and provide data as required.
  • Provide cover for other colleagues in the admin team as required for short absences due to annual leave or sickness.
  • Take and transcribe a wide range of meeting minutes in an accurate and timely manner
  • Receive and process referrals to the relevant clinician and EMIS/SystmOne
  • Update case notes on patient record EMIS/SystmOne as required
  • Provide secretarial support to team and EMIS/SystmOne, as required, i.e., onboarding new staff arranging meetings, ESR approvals, diary management, monitoring cover arrangements, arranging agency workers, logging incidents onto DATIX etc.
  • Induction for staff such as onboarding new staff in electronic systems (System one, EMIS) and organizing electronic devise via SABP/ PCN digital portal
  • Monitor annual leave requests and sickness absence for manager, as required
  • Extract data from data warehouses i.e., DART
  • Type up reports incorporating graphics and tables as required
  • Type all letters dictated or provided by the team and nearby PCNs
  • Book appointments on the patient record system for clinics and individual consultations
  • Answer telephone calls and relay any messages in a timely manner
  • Creating bespoke documents for the team, such as leaflets etc.
  • Arrange team events, as required
  • Monitor data quality of administrative input
