ASSISTANT TO THE DIRECTOR
Illuminate are delighted to be supporting one of London's most fascinating cultural heritage projects in their search for an Assistant to the Director


This is a great opportunity for someone who enjoys being at the heart of a complex, publicly known organisation at a time of significant organisational transformation.


WHAT ARE YOUR KEY RESPONSIBILITIES?

  • Diary management for the Director.
  • Management and scheduling of the most senior executive meetings such as the Executive Team meetings, including minute taking.
  • Internal liaison across departments on behalf of the Director.
  • Oversight of processes and procedures in the Directorate to ensure efficiency and good practice.
  • Management of the Departmental budget and all processes associated with this including the procurement card.
  • Approvals and signoffs, managing the Director's approvals in line with agreed delegated responsibilities.
  • Organising travel on behalf of the Director.
  • Managing the Director's expenses.
  • Overseeing written work including correspondence from the Director, letter writing, creating presentations, report editing and formatting.
  • Managing documents in line with the museum's policies including filing, archiving and disposal.
  • Undertaking any other duties which may be reasonably requested by the Director.

WHAT SKILLS AND EXPERIENCE DO YOU REQUIRE?

  • Experience of providing personal assistance support to a CEO in a fastpaced complex organisation.
  • Excellent influencing skills with the ability to forge strong relationships internally and externally.
  • Supreme knowledge of administration processes and governance within an organisation that has a highlevel of control and regulation.
  • Excellent written and verbal communication skills.
  • Effective budget management.
  • Project management skills, forecasting, planning and risk/opportunity management.
  • Highly efficient expert user of IT and other administrative systems.
The role itself has a high profile within the organisation.
