International College Dundee - Student Experience Support Officer

Job Purpose


The Student Experience Support Officer will support the Central and College teams in a variety of student-focused functions at the College.

The role holder will play an important support role in ensuring the enhancement of student experience from pre-arrival and throughout the student journey in College.


Main duties and responsibilities

External/Reception

  • Deal with College enquiries in person or over the telephone and give a warm welcome to students and visitors
  • Support the OIEG Head Office & College teams in managing the prearrival inbox and ensuring accurate and uptodate prearrival information is always available to all stakeholders
  • Work closely with College team, Head office team and prearrival advisors to ensure all prearrival prerequisites are fulfilled so students join their course on time
  • Assist with the administration of Accommodation and Airport Pick-Up bookings for students, involving elements of customer service, database & spreadsheet management
  • Facilitate the accommodation booking process at Conditional Offer and Unconditional Offer stage
  • Communicate with incoming students in regard to prearrival questions including visa outcomes, arriving on campus, late arrivals, online and face to face registration etc
  • Connect the prearrival advisors as well as students with appropriate resources required for a seamless prearrival support
  • Assist the College team to report students at risk of falling below the required attendance level in accordance with established rules
  • Assist the College team to report students at risk due to academic performance in accordance with established rules
  • To assist with the preparation of reports/records of meetings and to attend where appropriate
  • Follow up with students where information is required from them
  • Collect, collate and disseminate student satisfaction at arrival

Administrative Support

  • Updating of staff and student notice boards (physical and online)
  • Working with the IT systems of both Oxford International and the University of Dundee
  • Prepare rooms and materials for teaching and examinations when necessary
  • Support on collection and collation of student satisfaction surveys for internal reviews, validation and accreditation processes (prearrival and exit surveys).
  • Support teaching staff administration

Students

  • Providing basic student welfare services within the College and ensuring students are informed and have access to the specialised Student Services provided by the University of Dundee and OIEG

General

  • A willingness to be flexible towards duties & adaptable to change
  • Developing a key understanding of the College & University policies & procedures
  • Occasional out of hours work during peak periods such as Registration and Welcome Weekend
  • Proactively undertake professional development necessary for the effective performance of the role

Person specification

Statutory requirements

  • Eligibility to live and work in the UK
  • Undergo an Enhanced DBS Disclosure

Qualifications

  • Administrative qualification
Desirable

  • Certified IT skills
  • First Aid trained

Experience and knowledge

  • Office/administrative experience
Desirable

  • PA/Reception experience
  • Worked in a further or higher education institution
  • Experience of working with international students/nonEnglish

Skills and abilities

  • Excellent written and verbal communication skills in English
  • Exceptional organisational skills
  • Excellent IT skills (Excel and Microsoft Office programmes)
  • Ability to work without close supervision and to set own priorities
