Médecins Sans Frontières/Doctors Without Borders (MSF) provides life-saving emergency relief and longer-term medical care to some of the most vulnerable and excluded communities around the world.

Position:


Support the Executive Director and Deputy Executive Director working across MSF UK/IE, Operational Centre Amsterdam (OCA) and meeting MSF Movement commitments at the international level.

Hours: 37.5 hour per week, Mon-Fri

Office of the Executive Director:


The Office of the Executive Director exists to ensure the proper and ethical governance of MSF-UK and Ireland (MSF-UK/IE) in order to enable and support the organisation to deliver its charitable objectives and assure a section and branch office that is fit for the challenges of the future.

Collectively, it is responsible for strategy and accountability; governance; safeguarding, compliance and risk management; ensuring effective leadership and management; change and innovation; relationships with the Operational Centre Amsterdam and wider MSF movement; and the overall health of MSF-UK/IE.


Job Purpose:

The responsibilities of this role are split roughly into thirds over the course of the year:

  • To strengthen the efficiency and effectiveness of the ED and Deputy ED by providing high-level administrative support, for example, managing calendars, organizing meetings, coordinating travel and taking over assigned tasks and monitoring progress.
  • To provide the secretariat function of the Senior Leadership Team (SLT), coordinating closely with Board governance and international agendas to ensure SLT decision making supports the progression of the organisation's strategic goals and decision making is communicated in a timely fashion to relevant stakeholders.
  • To provide coordination and administration of internal communications initiatives, including those linked to the association in support of the association officer and in particular to support development and delivery of internal communication needs related to change management processes led by the ED and Deputy ED.

Requirements:


Knowledge, Skills and Experience:


  • What skills, qualifications and experience are _

  • Experience working in a EA, PA or other office administrative roles in a pressurised environment requiring flexibility, tact, judgment and discretion in handling internal and external contacts and information.
  • Experience of successfully and professionally managing senior manager schedule, facilitating their workload and diary, including researching and booking of international travel, visas and accommodation.
  • Experience of supporting the coordination of internal communications.
  • Experience of drafting and editing communications relevant to internal communications initiatives.
  • Proficient experience in the practical use of personal IT equipment and Microsoft Office 365 suite. The ability to effectively collaborate and communicate within a hybrid working environment utilising Teams, SharePoint, One Drive and Yammer.
