Welcome Receptionist
We have a fantastic opportunity for someone who is passionate about Client Services and enjoys meeting people to join us as a Welcome Receptionist.
Hours of work:
Flexibility required between core hours of 7am and 7pm dependant on business demand (35-hour week). On a rota basis. Shifts may change sometimes at short notice.
Role Overview
To provide a first-class welcome to all persons visiting our international headquarters and within our ground floor reception.
To lead by example as the brand ambassador for the firm ensuring the highest standard of care and service to all clients, visitors, and stakeholders.
If required, provide assistance at Client Reception.Main duties and responsibilities:
- Meet and greet clients professionally with a "can do" attitude and offering a concierge style of service for all requests/queries.
- First port of call for all incoming visitors to the international head quarters.
- Checking in of all visitors, ensuring a full audit trail is recorded in the booking system.
- Issuing of visitor passes to all guests as well as contractor passes and temporary passes for staff.
- Always deliver a firstclass service to all internal and external clients.
- Booking of all taxis, adhering to the travel policy, and ensuring prompt service delivery to all internal clients.
- Always monitor housekeeping of the ground floor reception area and outside of the front of the building and liaise with facilities, including cleaning and maintenance to ensure the high standards within these areas are maintained consistently.
- Ensure that all client areas are kept presentable, including furniture and artwork.
- Ensure prompt liaison with the post room team for the deliveries, collections, etc. directing all couriers and messengers to the loading bay.
- Vigilance for security and safety of main entrance and exit to building, promptly raising any issues to the security team and facilities management.
- Adhere to strict security policies and comply with instruction given by the security team.
- Adhere to all firm wide policies and procedures.
- Be conversant with the firms Health & Safety, Evacuation and Business Continuity Plan policies.
- Other duties as reasonably required by the Client Services Team Leader.
Relevant Experience:
- Experience of working within a corporate client services environment
- Experience of using a room booking system desired, preferably condeco
- Excellent IT skills to include all MS Office packages.
We are looking for someone who is an e ffective communicator at all levels and capable of establishing immediate rapport, with the ability to handle conflicting demands and/or challenging situations.
You will be p roactive, with a keen eye for detail and flexi ble in both attitude and in daily hours of work.
