ROLE MISSION


Working in partnership with our client, the Medical Project Executive is a day-to-day client contact who will manage work on multiple projects and provide support to senior team members ensuring content delivery is efficient and accurate.

Under the supervision of the Senior Account Manager, the Project Executive is responsible for successfully delivering high-quality work that meets client expectations, helping to maintain budget and timescales.

WHAT YOU WILL BE DOING IN YOUR ROLE

  • Supports on all aspects of assigned client projects, including budgeting, invoicing, project management, client interaction, creative review, quality control and ontime delivery.
  • Client contact and responding to requests, queries and concerns in a timely and effective manner building relationships and operating as daytoday client contact for some projects.
  • Is an articulate concise, professional, clear communicator with an interest in developing these and their presentation skills further.
  • Identifies problems or missing information ahead of time and effectively sources key information when unsure.
  • Proficient in standard software packages (Word, Excel, PowerPoint, Outlook)
  • Experience in a healthcare advertising agency or relevant industry preferable
  • Experience of using Veeva Vault/CRM and of work review processes would be an advantage.
  • Demonstrates attention to detail and good organisational skills.
  • Understanding of how to plan, develop and manage both print and digital would be an advantage.
  • Keep uptodate with industry codes of practice/ changes needed for ongoing projects

Account Management

  • Receive Project briefs and with support from SAE and schedule full client briefings with the team.
  • Always keep clients up to date with project progress.
  • Develop understanding of client brand/s, the market environment and marketing strategy.
  • Strives to add value to client requests and drives innovative thinking and creativity.
  • Develops relationships among key internal departments to facilitate the smooth progress of client projects.
  • Keep abreast of external issues/events/changes in the external environment and review their impact upon projects and client objectives.
  • Liaise appropriately with all relevant departments following client interactions, providing information that may assist them in their daytoday work.
  • Work closely with clients to understand all feedback and actions necessary to maintain project progress.
  • Attend client meetings/conferences as required and ensure all actions are recorded.
  • Cascade of information internally to keep everyone in the loop on projects.

Project Management

  • Distil needs of briefs, ask relevant questions to ensure good understanding.
  • Create timing plans and book design and copy resource.
  • Project planning and internal setup, including system management, timesheets, estimates, purchase orders and billing admin.
  • Attend regular status meetings internally to give project updates.
  • Develop understanding agency model and processes.
  • Manage costs and deadlines proactively.
  • Ensures regular client and agency update on project progress, and manage any changes that may occur
  • Participates in the assessment of creative offering relevant, insightful feedback and helps to develop the best possible content
  • Monitors timelines and alerts AD of resourcing issues
  • Checks copy, layout and artwork meticulously against brief and relevant codes
  • Ensures server folders are kept up to date and wellorganised with version control followed at all times

Experience in healthcare advertising sector / medical communications or account management related to the following would be desirable:
Digital, Print, Motion, Graphics, Web Design
