Role Overview

The Quality Documentation Officer will be detail orientated, hands on, can do individual who has the ability to support various departmental requirements.

The Quality Documentation Officer will be required to ensure that products have the correct material certification / documentation on time to the required quality standards in accordance with the customer specification.


The Quality Documentation Officer will be an ambassador and role model for IMI Truflo Marine and will act with integrity and in accordance with company policies at all times.


The Quality Documentation Officer will be required to 'hit the ground running' in a fast-paced environment and is confident to collaborate with people at all levels both internally and externally.


Key Responsibilities:


  • Review of material certification Mill certificates,
  • Certificate of Conformity, NDT records, welding records, etc.
  • Compilation of material certification, documentation packages (Lifetime Quality Records
  • LTQR's) in line with customer requirements.
  • Ability to prioritise workload and work on own initiative to achieve required deadlines.
  • Assist in the delivery of key activities and projects as required.
  • Produce and log data to supply reports and analysis of Quality Certification and Documentation as and when required.
  • Demonstrate outstanding organisational skills with a high level of accuracy and attention to detail.
  • Ability to work preemptively and thinking ahead at all times with multiple solutions to hand for any give scenario.
  • The ability to work with little direction in a proactive and ambassadorial manner.
  • Working to very tight and constantly changing deadlines with absolute discretion.
  • Provide back up to the quality team's covering holiday leave and / or supporting overflow activities as deemed appropriate by Quality Compliance Manager.
  • Keep accurate and up to date data and ensuring that is maintained in relation to Quality Administration / Certification.
  • Promote quality achievement and performance throughout the organisation.
  • Maintain the Companies Quality Administration Control processes to ensure that products are traceable and delivered with the correct certification / documentation.
  • Carry out all relevant Quality Administration checks ensuring that all process documentation is stamped and or signed accordingly.
  • Ensure that any discrepancies with all material certification or administration is highlighted, investigated and resolved prior to the deliver to the customer.
  • Support the Quality Engineer(s) as required in the following area(s):
  • Process audits.
  • Customer audit preparation.
  • Internal reject analysis.
  • Maintain standards and have clear SOP's in relation to the processes of the Material Certification and Documentation process which is clearly defined.
  • Liaising with customers' and external auditors, ensuring the execution of the appropriate Material Certification, Documentation and compliance with the required specifications.
  • Support the quality team in relation to the procedures for ISO 9001 and 1400
  • Ensure that when there is a review to a schedule that the Material Certification and Documentation is in line with any change to delivery.
  • Ensure that standard operating procedures are adhered to, deviations from process should be highlighted and if necessary, the SOP reviewed to ensure the process is correct and up to date.
  • Ensure implementation and adherence to health and safety procedures.
  • Be a positive role model in promoting the requirements of the Quality Control Culture and ensuring others operate with the same values.
  • Determine and raise improvements to the processes.
  • Participate in cross functional teams.
  • Ensure continued communication and good relationships with external and internal stakeholders.
  • Carrying out any other duties appropriate to this post, as necessary or as requested.
