Management Support Administrator
Are you a looking for an exciting new opportunity?


We are looking to recruit to a brand-new post for the practice and our team, to support the Management Team in the delivery of first-class primary healthcare services to the practice patient population.


About the Practice
We are a semi-rural Dispensing Practice with a friendly supportive team of Administrators, Practice Nurses, HCAs, GPs, and Dispensers.

We achieve high QoF and CQC success, with a focus on patient centred care and providing our 'family doctor' service to our whole community.


We are at a point in our development where, as Admin and Management teams, we need additional support to enable us to continue this quality service but also to enable us to drive developments across the practice.


Key Points

Post Overview:

The general purpose of the post, includes, but is not limited to:

  • To work closely with the Management Team to 'begin to move' various activities and responsibilities to within this new post, including many aspects of non-clinical activities across the practice.
  • To work as part of the Admin Team, involving the full remit of Practice Administration, including being a key source of cover for holidays and sickness within the team.
  • To support the Practice Manager in all aspects of practice functionality
  • To offer general assistance to the practice team and project a positive and friendly image to patients and other visitors.
  • To be a key point of contact for enquiries from patients, external organisations, third parties etc

It is envisaged the main aspects of the role will include the following:

  • Practice Administration in all its aspects
  • Work Towards Supporting the Management Team with:

Business continuity planning - be aware of arrangements and participate in implementation of these when necessary. Maintain and circulate up-to-date information re this.


Crisis management - Report problems as they occur to Management Team. Help to identify potential problems


Health and Safety and Risk Management - Be aware of policies for Practice premises and Fire safety. Assist to ensure basic systems are in place.


IT - Be aware of policies and procedures regarding IT and support in the day-to-day management of IT systems and practices across the surgery. Support the Practice Manager with managing the clinical system, ensuring IT security and IG compliance are always adhered to


Project management
Gather data. Support the Management Team in identifying deficiencies in system and in contributing to project management of new systems.


PPA, Prescription Pricing Authority monthly returns - support / develop overview of this monthly process


Continuous Improvement - Support the Practice Team with continuous improvement activities and to deliver high standards of patient care.


Policies and Procedures - Helping to ensure the practice's, policies, and procedures are up to date.


Developments - expanding the post as we progress together


About You

  • The stamina, patience and good sense of humour to succeed in working in a very supportive but very busy GP Surgery environment
  • The ability to work well under pressure as part of a rewarding but highly demanding role
  • Experience in general practice administration
  • Willingness and drive to develop this new post, in partnership with the practice team including gaining experience and knowledge suitable to the post
  • Problem solving, proactive approach to the role
  • Significantly flexible, team working approach
  • Good organisational skills
  • Kind and patient approach with patients, colleagues and visitors
  • Experience of dealing with the public and patients and to handle difficult / challenging situations in calm, measured professional manner

Essential

  • GCSE grade A to C in English and Maths or or equivalent Key Skills qual
