Executive Support Officer


We are looking for a talented and enthusiastic Executive Support Officer to support our directors and their wider senior leadership teams.

Previous experience in a similar role would be an advantage, but more importantly you will be self-motivated, pro-active,possess excellent administrative and IT skills and be comfortable working in a rapidly changing environment.


What will you be doing?

  • Proactively manage Director's diaries to ensure the smoothrunning of all daytoday activities, using professional judgement to effectively balance their time, prioritising the most important meetings, identifying, and resolving conflicts before they ariseand anticipating requirements in advance.
  • Arrange and support a range of meetings with both external stakeholders and internal colleagues, including booking meeting rooms, receiving visitors, and arranging refreshments if required.
  • Give secretariat support, including collating and circulating agendas and papers, and taking accurate and concise minutes or notes, for a range of routine, complex, technical, or confidential meetings.
  • Provide help and support to Heads of Service and their teams on a range ad hoc and longerterm projects and pieces of work.
  • Provide cover for the Business Manager in their absence and help support the work of the Chair and Chief Executive as required
  • Book business travel and accommodation; and to process travel and subsistence claims as necessary.
  • Make, receive, and deal with telephone calls, taking accurate messages and dealing with general enquiries internally and externally.
  • Draft suitable replies to correspondence where appropriate and to research background information as required.

What are we looking for?

  • Good interpersonal skills and an ability to build strong collaborative working relationships with people at all levels.
  • Efficient IT skills, especially competent in the use of Microsoft Office, effective communication skills, both written and oral as well as great attention to detail.
  • Experience within a similar role.
