Description

The ward clerk is an essential part of the ward team, who works within the ward, to provide routine clerical duties, to assist the nursing staff with the organisation of the ward.


The post holder will have direct contact with patients/visitors in their capacity as Ward Clerk within an inpatient setting, under the direction and supervision of a trained nurse.

Duties will include receiving and directing patients, visitors and staff visiting the ward. To receive and make telephone calls on behalf of the Ward Manager, referring these appropriately. To collect essential information and communicate with the appropriate member of the ward team.

To undertake clerical duties relating to documentation for patients including admission paperwork, clinical notes, discharge notification, patient records etc. In conjunction with Medical Records, make outpatients appointments and transport arrangements as appropriate. To undertake filing, and any other duties of a clerical nature which may be delegated from time to time.


To participate in the use of IT and electronic Clinical Systems within the department, keeping computer based patient information up to date and amended as necessary.


Experience working within the NHS would be an advantage and having the ability to work with a computer will be essential.

Good communication skills and telephone manner are very important for this role.

Ability to answer telephone and have a good telephone manner.

To be able to take messages and relay information accurately.

Good team player able to communicate well within the team.

Computer skills needed to book transport, book patients into and out of ward virtual system.

Be able to accurately file and prepare notes, photocopy notes.

Order stationary and other items needed for the running of the ward.

Discretion needed regarding personal data of the patients.

Happy friendly disposition as you will be the first person anyone sees when entering the ward.

Have the ability ( once shown how to do something) to be able to work proactively unsupervised.

General clerical duties.

NHS experience will be beneficial for this role.

To provide and effecting day-to-day clerical support to facilitate the smooth running of the ward under the direction and supervision of senior colleagues.

This job role covers clerical duties meeting and greeting staff, patients and
visitors, the movement of case-notes around the trust and the provision of,
preparation of and maintenance of patient case-notes.

Support the Division by providing an effective booking provision as needed in each area. To make available an efficient and reliable service to book
patients' appointments in line with national targets, which in turn meet the
Trust's targets.
