An exciting opportunity has arisen within the Medical Education team based at Hopewood Park Hospital, Sunderland for a Medical Education Administrative Officer to support the provision of high-level administrative support for the education and training of postgraduate trainees.


Please note that this is purely an administrative role and the postholder won't be required to undertake any delivery of teaching or training to qualified medics.

The postholder will assist in the administration and co-ordination of;

  • Supporting two Medical Education Administrators to provide high level admin support for Postgraduate Trainee Doctors in South of Tyne, while also supporting several trust wide training programmes.
  • Liaising with trainee doctors, MedEd tutors, consultant supervisors, MedEd Directors, MedEd Lead, Quality and Safety Lead and MedEd Manager.
  • Assist with training delivered by the trust for Postgraduate trainees, this would include supporting the planning and organising of the Junior Doctor inductions.
  • Organising local postgraduate education weekly teaching
  • Monitor completion of statutory and mandatory training for junior doctors and maintain this information on ESR and MedEd database.
  • Coordinate bookings and assist in the running of the Faculty Development programme.
  • Supporting the Psychotherapy Tutor, Foundation Tutor & Higher Trainee Tutor with induction planning and trainee placements and Balint groups.
  • Support the SAS Tutor with the planning and delivery of teaching events, and the development of support structures and career pathways for SAS doctors.
  • Support two CESR Tutors with the organisation and running of the CESR Fellow scheme, maintain information on placements and rotations, organise and provide admin support for annual reviews and follow ups and type up feedback and support the organisation of training events.

This post works within the Medical Education, Development and Workforce team (MEDW).

This team works closely with Newcastle University and Health Education North East (HENE) to oversee the high quality education and training of undergraduate and postgraduate medical trainees; recruitment, induction and development of Consultants and Specialty Doctors; monitoring and support with revalidation and job planning; expert advice on terms and conditions and developments to build and support the leadership journey from medical student to consultant psychiatrist.


Supporting MedEd Administrator / MedEd Lead / UG Lead / MedEd Manager / Tutors and Directors with admin tasks as and when required.

Staff will attend a range of statutory and mandatory training applicable to all staff in the Trust.

Over and above this the service offers specific in-house foundation/awareness level training on:

Medical Education drives, systems and working practices, Microsoft TEAMS & Accent leave manager.


The postholder will carry out the following duties; room bookings, liaising with speakers, setting up rooms for training events, inputting data on relevant databases, ordering stationery and catering.

Setting up IT and Lone working accounts, maintain trustwide and local distribution lists, setting up MS Teams meetings which will include supporting various calls when needed.

Also arrange face to face department meetings and attend these to take notes as and when required. Supporting presenters at training sessions providing logístical and technical support.

Postholder will also be required to carry out any other administrative duties as and when required to meet the needs of the department.


The successful applicant will have excellent customer service experience, excellent organisational and communication skills, experience of taking responsibility for managing own workload and meeting deadlines, able to work under pressure, and an in-depth knowledge of Microsoft Office packages.
