The Patient Investigation and Learning Team are looking for an experienced, professional, positive and flexible Band 4, Personal Assistant.


A main component of the role is to provide a full and confidential administrative service (primarily supporting the Duty of Candour process), to maintain accurate and up to date records in all cases on dedicated databases/systems.

The successful applicant will be expected to contribute to Departmental objectives, ensuring compliance with external regulations and standards.


This role would suit an individual who likes to be busy with a workstream which is varied and unpredictable in nature.

They will be well organised and able to work methodically, accurately and pay attention to detail. We are looking for a team member who possesses excellent interpersonal skills.


The Patient Investigation and Learning Team (PILT) of Gloucestershire Hospitals NHS Foundation Trust, investigate, resolve and provide recommendations for learning in respect of patient safety investigations, complaints and legal claims.

To provide a full and confidential administrative service to the Patient Investigation and Learning Team (primarily supporting the Duty of Candour team).

To maintain accurate and up to date records in all cases on dedicated databases/systems

Contribute to Departmental objectives in the process and management of DOC legislation, ensuring compliance with external regulations and standards

Use active listening skills and empathy to obtain confidential information from patients and family members

To lead with support in the preparation of reports for various reporting requirements

To provide administrative support, taking detailed minutes and capturing complex actions in what is at times; emotionally upsetting meetings/environment

To access patient records (which may be heavy) including tracking electronically to ensure that they are easily accessible to assist with investigations

Scan large health records and send through a confidential portal

To handle incoming and outgoing mail, including root cause analysis reports that could need to be shared with patients/families, ICB/CQC and HMC

To organise meetings and appointments with patients/family members, clinical/management staff, booking venues. Providing written confirmation of arrangements

To organise and take part in staff training sessions on behalf of the team

To draft correspondence as required, maintaining a confidential service at all times.

Use the National System (STEIS) to declare Serious Incidents

To order goods as required and directed by line manager using the procurement system (P2P)

To participate in local networking for the team in the area

To participate in projects as necessary and as directed by your Line Manager

To undertake any other duties compatible with grade in discussion with Line Manager, to ensure a consistent and effective level of administrative support is provided to the Patient Investigation and Learning team
