Description

The South West London Procurement Partnership came together on 1st April 2021 as a new single procurement service acting directly on behalf of; Croydon Health Services NHS Trust, Epsom & St.

Helier NHS Trust., Kingston Hospital NHS Foundation Trust and St. George's NHS Foundation Trust whilst also providing services to the wider South West London integrated care system. The new service is hosted by St. George's NHS Foundation Trust.


The purpose of the new service is to deliver better outcomes for partners through delivery at scale benefits for patients, staff and the wider health economy.

The creation of the South West London Procurement Partnership is a critical foundation in developing the common infrastructure that will enable the wider place-based and system-level transformation in patient care which is at the heart of all 4 Trusts' strategic aims; and support increased financial sustainability.

This is an exciting opportunity to join the service and to play a crucial role in realising our objectives.

We are looking to recruit a Materials Management Officer to work in the Materials Management Team at Kingston Hospital.

To contribute to the delivery of the Supply Chain and Logistics function at the hospital as


follows:


  • Provide a fully managed Supply Chain and Logistics replenishment service for stock and
non-stock products to user departments.

  • Ensure that all stocks are managed appropriately and cost effectively, meeting the needs
of user departments and that all products are replenished in accordance with agreed
processes, policies and procedures.

  • Ensure nonstock products received in Receipts and Despatch are distributed to user
departments.

Receipt and Delivery

  • Support of the Logistics Supervisor in receiving allocation of work schedules and
areas of assignment as instructed.

  • Receive goods and services into receipt and distribution area.
  • Receipt goods on the system against the correct purchase order.
  • Receive, check and raise receipt documentation for the following, and effectively
route these items to the relevant wards and departments,

  • Direct Purchase Orders raised on the purchasing system and delivered to Main
Stores.

  • Raises non stock orders for clinical areas when required.
  • Manage Materials Management stock items received via NHS Supply Chain, Bunzl
Healthcare, Squadron

  • Answer the goods inward buzzer. Attend to delivery drivers, checking the correct
number of parcels are delivered and signed for.

  • Place parcels in correct delivery location ready for delivery.
  • Take prompt action to deal with routine enquiries relating to the clearance of orders.
  • Deliver items to wards and departments.
  • Deal courteously with enquiries / queries from end users.
  • Maintain methodical, tidy records of completed deliveries for future reference.
  • Ensure safe custody of stores and direct delivery items awaiting distribution.
  • Maintain working areas in a clean and tidy condition and free from obstructions.
  • Undertake other duties, commensurate with the grade as and when instructed by the
Line Manager.

  • Always wear the departmental uniform, keep general appearance to a high standard,
including cleanliness of clothing, footwear and self.

  • Remains calm under pressure and is balance in approach to managing conflict.
  • Service meets the expectation of internal and external customers and specialty
departments.

  • Able to communicate clearly both verbally and in writing in a variety of settings.
  • Works well with immediate supervisor and colleagues to ensure high productivity.
  • To attend all statutory and mandatory training as and when required to do so.
  • Adhere to all Service Polices as applicable.
  • Return empty cages and other delivery adjuncts to Receipt & Delivery area.
  • Ensure the Receipt and Delivery area is maintained in a clean and organised fashion.
  • Maintain security of storage and office areas ensuring only Procurement and
Supplies team access the area.
Inventory Management

  • Manage replenishment of Ward Stocks using PDA/bar code technology to agreed
levels to meet needs of the user.

  • Review reorder level and reorder quantity in line with end user demand on a quarterly
basis. Identify and agree a portfolio of products and stock levels with the area,
monitor usage and activity patterns.

  • Assist with the switching of products in materials management areas to contribute to
the departmental projects

  • The Materials Management Officer will ensure Ward stock items will be put in the
ensuring new stock is placed behind existing stock. Any expired product should be
removed from the shelves

  • Check and put away all ordered deliveries ensuring goods are in usable condition
and are commensurate with the order. Record discrepancies appropriately; return
goods following the correct policy.
