School Administrator - Job Description

Post:
School Administrator (22 1/2 hours per week over 3 days, term time).


Line management by:
School Business Manager


Grade:
Grade 6, points - 13

Purpose:

Under the instruction / guidance of senior staff, provide general administrative support to the school and provide a welcoming first point of contact to all visitors.


Organisation:


  • Deal with reception / visitors etc and any pupils arriving at or leaving school
  • Contribute to the planning, development and organisation of administrative and support procedures and policies
  • Act as a first point of contact for pupil first aid and welfare duties, looking after sick pupils and liaising with parents, staff and so on
  • Contribute to management of the school calendar including booking rooms for external visitors

Administration:


  • Manage manual and electronic record and information systems
  • Provide routine clerical support, for example, photocopying, filing, completing routine forms etc
  • Analyse and evaluate data and information and produce reports, data and information as required and within predetermined deadlines
  • Assist with preparation and distribution of school newsletter
  • Maintain school communication system (ParentMail)
  • Sort and distribute mail and sign for deliveries
  • Answer telephone calls, relay messages and advise staff and pupils as necessary
  • Complete and submit complex forms, statutory returns, data collection sheets etc including those to outside agencies (for example, DfE)
  • Record pupil attendance and disseminate as requested; follow up all unnotified absences through firstday absence phone calls
  • Arrange teaching and support cover, as and when required
  • Coordinate visits to school, both regular and adhoc, by a range of visiting professionals and agencies, such as peripatetic music teachers, Social Workers, Bikeability staff and so on
  • Maintain pupil records on Integris, the school's Management Information System
  • On occasion, take minutes of meetings as required

Resources:


  • Operate relevant equipment and complex ICT packages
  • Manage uniform / snack / play / other sales within the school
  • Provide advice and guidance to staff, pupils and others
  • Undertake research and obtain information to inform decisions
  • Assist with marketing and promotion of the school, including updating the school website
  • Act as the first point of contact to deal with contractors / workmen on site in the absence of the School Business Manager

Responsibilities:


  • Comply with and assist with the development of policies and procedures relating to safeguarding, health, safety and security, confidentiality and data protection, reporting and acting on all concerns in line with agreed policies
  • Administer First Aid to pupils as required
  • Be aware of and support difference and ensure equal opportunities for all
  • Contribute to the overall ethos, work and aims of the school
  • Establish constructive relationships and communicate with other agencies and professionals
  • Attend and participate in regular meetings
  • Participate in training, other learning activities and appraisal processes as required
  • Recognise own strengths and areas of expertise and use these to advise and support others
  • Adhere to staff Code of Conduct at all times

Other duties and responsibilities

Experience:


  • Experience of working in an office environment
  • Experience of providing clerical or administrative support
  • Experience of working in a school environment _(desirable)_

Qualifications:
GCSE or equivalent English and Maths (essential); educated to A-Level or equivalent (desirable)


  • GCSE / equivalent English and Maths at Grade C (or equivalent) or above; educated to A-Level or equivalent
  • Excellent literacy, numeracy and IT skills
  • First Aid qualification _(desirable training can be provided)_
  • Safeguarding training _(desirable additional training will be provided)_

  • Excellent attention to detail
