About The Role:

The logistics administrator plays a crucial role in co-ordinating and optimising the logistics and fleet operations.

The role is responsible and accountable for administering the day-to-day activities of the logistics and fleet operation.

Will be the interface between the customers, Internal and external logistics and fleet users, service providers, suppliers, freight forwarders and Importer/Exporter of Records agencies, ensuring compliance with regulatory requirements.


The post holder will be required to take on any additional duties which may be considered within the remit of the role.

Spare Parts Management Services

  • To coordinate all aspects of the warehousing and logistics service delivery across all countries.
  • To interface the relationship with the customers, internal and external service providers, and suppliers.
  • To manage and prioritise the logistics shared mailbox.
  • To coordinate and optimise the daytoday activities, including but not limited to; prepare and monitor documentation for Inbound and outbound stocks, monitor and report minimum stock levels, implement, and monitor customers repair cycles and general customer adhoc requests.
  • To coordinate the storage, calibration and distribution of company PPE, tooling, and asset management in line with engineering teams.
  • To collate and report on Indigo's logistics performance in meeting SLAs and KPI targets through regular service review meetings with the customers, internal and external service providers, and suppliers.
  • Ensure 100% spare parts stock is always maintained.
  • Ensure that the spares service is cost optimised to contribute positively to Indigo's margins. Ensure all logistics services relating to chargeable customer, providers and suppliers' activities are covered by a valid Indigo purchase order, submitted for approval, and followed up on completion.

Domestic and International Shipping Services

  • To coordinate all aspects of Domestic and international shipping.
  • To interface the relationship with the Importer/Exporter of Records agencies for all crossborder trade controls; ensuring that Indigo is fully compliant with the export control laws and licenses required to ship within and outside the European Union.
  • Ensure all outgoing deliveries are made on time including full documentation, compliance checks, import/export permits and licensing (where applicable) and declarations.
  • Ensure the shipping request form received from the customer is complete so that the information can be transferred to the shipping company.
  • Liaise with the shipping company to ensure all documentation relevant to shipment is completed.
  • Ensure the clearance of all shipments through the relevant customs channels.
  • Agree, manage and control all customs charges, taxes and duties on the customers' behalf; Ensure that these are reclaimed/repaid as required.
  • Provide weekly/monthly reporting as requested to evidence compliance with the trade controls obligations, providing on an as needed basis, commercial invoicing, customs declarations, export licenses. Ensure all shipping services relating to chargeable customer, providers and suppliers' activities are covered by a valid Indigo purchase order, submitted for approval, and followed up on completion.

Group Fleet Care services

  • To coordinate all aspects of fleet care service delivery across all countries.
  • To interface the relationship with the fleet users, internal and external service providers, and suppliers.
  • To manage and prioritise the fleet shared mailbox.
  • Maintain the group fleet register, ensuring all details are 100% accurate at all times.
  • To coordinate and optimise the daytoday fleet activities, including but not limited to; organising fleet breakdowns, servicing, and repairs, hiring and off hiring short term vehicles, Ensure Short term Insurance and Zone entries are always up to date, coordinate fleet handovers with line management.
  • To monitor and organise activity following any fleet related incidents.
  • To investigate minor incidents involving fleet, and assign actions are required.
  • To coordinate, administer and report in line with the legal team the fleet insurance and claims.
  • Ensure that the fleet are operating in accordance with legislation and regulations.
  • To report weekly and monthly KPI's on fleet and fleet user performances utilising internal and external systems.
  • To monitor and liaise with Legal team, engineers, and payroll on penalty notices and fines.
  • To monitor fleet costs and ensure that they remain within budget.
  • To prepare supporting documentation for fleet replacement strategy.
  • To attend service review meetings with fleet service providers to review ongoing support.
  • To conduct with the People Team fleet user licence checks are completed annually. Ensure all fleet services relating to chargeable activities are covered by a valid Indi
