We are seeking a skilled Project Aid Specialist to join our team. In this role, you'll provide crucial support to various projects within our campus development portfolio. You'll be responsible for ensuring that projects are executed within budget, adhere to schedules, and meet our quality standards.

Collaborating closely with construction planners and managers, you will help maintain our common data environment, manage financial reporting in U4BW, and offer construction management assistance across our Campus development projects.


Your Responsibilities

  • Assist Construction Planners and Project Managers with administrative tasks
  • Create and manage essential project documentation, maintaining project databases and records in accordance with RIBA work stages and project requirements
  • Handle project changes and deviation documents
  • Coordinate and provide information for assigned projects
  • Analyse project data, including finances, and produce standard project reports
  • Support projectrelated secretarial duties, including meeting organization and minutetaking
  • Ensure timely completion of project actions and track progress
  • Coordinate and proactively manage project manager's tasks
  • Update and maintain project databases
  • Manage and track finances for consultants and specialized services
  • Monitor property team compliance with company policies and procedures, offering feedback and advice to facilitate construction works across diverse projects

NOTE:

Hybrid availability would be based on project requirements, allowing for on-site presence for any of the 5 days, with the flexibility to work from home for 2-3 days, depending on schedules.


Qualifications

Essential Skills and Qualifications

  • Proficiency in Microsoft Office, particularly Excel and PowerPoint
  • Excellent report and minutes writing skills
  • Strong interpersonal and organizational abilities
  • Selfmotivated with the capacity to work independently and show initiative
  • Experience managing interfaces and interdependencies in technical projects
  • Familiarity with quality management systems
  • Some finance or accounting experience, preferably with U4BW
  • Demonstrated experience in project management and coordination, particularly in construction projects
  • Ability to work under tight deadlines and adapt to changing priorities
  • Professional demeanour with discretion in business settings
  • Understanding of project management fundamentals
  • Familiarity with Common Data Environment system advantageous
  • Ability to work with multiple computer data systems and manage data effectively
  • Knowledge of construction principles at a broad level, including HNC level construction course

Desirable Skills

  • Flexibility to work across multiple projects and teams
  • Provide assistance and coverage for Property departmental admin if needed
  • Manage diaries and meetings for senior Campus development staff
  • Build external relationships through networking opportunities
