Information about the Role:
Working as a Hospital Administrator at Magna House
your duties will include the following:
- To act as Personal Assistant to the Hospital Directors
- To provide accurate and efficient typing support from written and recorded material, utilising Microsoft Office to ensure the layout and appearance meet corporate standards, always maintaining confidentiality.
- To support the service with payroll and be confident in payroll software's, invoices, petty cash management and timesheets.
- Agency usage management/ timesheets and invoicing.
- To support the service with all recruitment such as compliance files, right to work checks and HR audits.
- Monitoring Staff Supervisions, Appraisals and Probation.
- To support the service with arranging staff training and monitoring progress.
- To support the service in the delivery of corporate/strategic objectives and administration tasks, including diary management, preparation and coordinating for/of meetings.
- To produce reports on an monthly basis in a format appropriate to the audience.
- To design, draft and prepare presentational material as and when required.
- To design service user friendly documentation as and when required.
- To coordinate, prepare and record documentation for meetings, to include drafting, typing, copying, collation and circulation of papers.
- To set up and maintain an efficient manual filing system in support of the Quality Team, reviewing in order to meet changing demands in consultation with the Registered Manager.
- To assist with the collation, storage and recording of archive documentation as required.
- To set up and maintain efficient and effective monitoring systems to include all quality audits; Care Quality Commission reports, safeguarding, complaint, incident/accident reports and Provider Inspection reports.
- To arrange meetings and travel arrangements as and when required.
Information about the Service:
Our registered hospital is dedicated to providing specialised care for u to 29 men and women aged 18 and above, who are experiencing severe mental distress.
Our acute inpatient mental health services support people of working age who may be detained under section of the Mental Health Act or they may be admitted informally to ensure a seamless transition to ensure continuity of care and treatment.
Necessary Experience or Qualifications to work as an Hospital Administrator:
- Excellent communication skills, both written and verbal.
- Excellent Microsoft Word, Excel and Outlook skills.
- Previous experience working as a Hospital Administrator or Human Resources.
- Knowledge and experience of working with vulnerable adults an advantage.
- Advanced internet use skills.
- Experience in Payroll and Petty cash management
- Knowledge of the software CIVICA desirable
