Job Purpose:


To deliver a first-class reception service to the Quintain Living Hub and to everyone who enters and support the QL Leasing, Operations and Maintenance team with wellbeing initiatives and PA duties for the Sales Operations Director.


Key Accountabilities:


  • Provide professional and welcoming reception service to staff members and visitors arriving at the Quintain Living Hub
  • Support the Sales Director Operations Director with PA duties such as expenses.
  • Plan team nights and wellbeing initiatives for the leasing, Operations and maintenance teams, ensuring full ownership of approved budget.
  • Working with Leasing management team, supporting when required, scheduling selfguided viewings using Sales force and the Outlook calendar system.
  • Monitor online aggregator sites to ensure no unauthorized listings are posted.
  • Ensuring the refreshment station is well maintained, presentable and well stocked.
  • Handling incoming and outgoing telephone calls courteously and promptly, answering queries where possible or transferring the call to the appropriate personnel. Taking messages where necessary for staff members. Note the importance of telephone etiquette the first experience for any callers has to be consistently first class.
  • Manage Quintain Living enquires inbox, entering in new leads in CRM system
  • Ensuring the highest standard of cleanliness and presentation of the Reception desk and FoH customer liaison area.

General Accountabilities:


  • Undertake additional relevant duties which fall under the general scope of the role, as directed by your Manager, raising any issues with capacity so they can be properly managed.
  • Participate in the full year and half year Performance Development Review process as reviewer and reviewee, meeting the standards and timescales required by the Company.
  • At all times ensure that your understanding and skill level regarding the Company's IT systems are up to date, as applicable to your role. Undertake IT training as required to ensure full and proper use of the available technology.
  • Demonstrate commitment to and align actions with the Company's values: Creative, People-First, Pioneering, Sustainable and Proud.
  • Work within the Company's policies and procedures, governance framework and standards, as detailed on the Company's intranet.
  • Remain knowledgeable about Group activities, benefiting from all forms of internal communication provided and acting as a positive ambassador for the Company at all times.
  • Use materials and resources effectively and efficiently to minimise waste and always consider the impact of potential actions alongside our Sustainability policies and goals before taking business decisions.

Qualifications/Experience/Skills:


  • Previous receptionist / administrator experience in a busy office environment
  • IT literate with intermediate to advanced level Word, Powerpoint, Outlook and Excel skills
  • Ability to work as part of a highly engaged team
  • Excellent written and verbal communication skills
  • A positive, resilient, cheerful, welcoming personality is essential
