JOB TITLE:
Administration and Finance Assistant


RESPONSIBLE TO:
Business Manager


SCALE:
Scale CLPT03 Scale Point CLPT01 to CLPT06


JOB PURPOSE:
To undertake a range of finance/administration duties


HOURS: 17.5 hours per week

10.00 a.m. to 1.30 p.m. Monday to Friday


JOB RESPONSIBILITIES AND TASKS

  • To provide administrative and finance support to the Business Manager and extended team as required
  • Assist with routine financial administration as directed by the Business Manager
  • Process orders and invoices, including arranging payment for goods and verifying supplier invoices and to ensure that all invoices are paid on time
  • Liaise with suppliers to chase invoices
  • Liaise with Out of County authorities for pupil charges
  • Receiving cash from parents/carers.
  • To maintain, record, reconcile and bank monies
  • To maintain, record and reconcile credit card receipts on a monthly basis
  • Maintain the office filing ensuring relevant files are in place for the Business Manager
  • Assist in the organisation of school trips
  • Obtain quotes needed for facilities
  • Ensure employees mileage and expense forms are completed and correct
  • Maintain specific financial spreadsheets
  • Assist Receptionist by answering phones and dealing with visitors

EDUCATION, KNOWLEDGE, SKILLS & ABILITIES

  • Competent in a range of IT tools.
  • Good written and oral communication skills with the ability to build sound relationships with pupils and staff.
  • Able to prioritise and plan own workload in the context of conflicting priorities and work on own initiative.
  • A methodical approach to tasks, recording and reporting.
  • Experience of SAGE is desirable

QUALIFICATIONS REQUIRED

  • GCSE English and Maths Grade 4 or above

SUPERVISORY RESPONSIBILTY

  • None

OTHER

  • Must be flexible
  • Lone working is essential

Job Types:

Part-time hours: 17.5 per week


Salary:
£20,258.00-£21,968.00 per year
