Purpose of the Role


To assist the Senior Events Manager and Assistant Event & Estate Manager in the administrative tasks associated with the events booking process and running the annual events programme at King's Cross.

To support the events team and liaise across other departments to ensure information is being passed on correctly and efficiently.


Key Responsibilities

  • Process new enquiries including being first port of call for all new enquiries via telephone or the events inbox, ready to be submitted to the Senior Events Manager and Assistant Event & Estate Manager.
  • Process license to occupy and permits for all events at King's Cross
  • Process invoices, recharges, purchase orders and damage deposits
  • Creating service charge budget trackers, updating the event manager on the budget every quarter and carrying out regular meetings with the accounts team
  • Liaison with service partners to obtain quotes, invoices, and process PO's
  • Complete written weekly team updates
  • Completion of helpdesk requests including following up job requests
  • Manage distribution of events communications to occupiers across the estate
  • Administering daily event check documentation
  • Management of events calendar
  • Events equipment audit and scheduling and booking of servicing
  • Creating and maintaining central saving folders in the online shared drive for all documentation and trackers for the team to easily access
  • Assist with the delivery of events where appropriate
  • Work with Events Manager on the delivery of team induction process in relation to events.
  • Any other task that assists the administration and delivery of events on the estate as seen as appropriate by the Senior Events Manager

Essential

Strong understanding of administrative work

Attention to detail on all administrative work

Excellent use of MS Word, Excel & PowerPoint

Excellent time management skills

Desirable

  • Background or strong interest in the events industry
  • Keen to progress into event operations or management
  • Experience in a fastpaced events environment
Marketing and communications experience

Working Hours - 9am-5.30pm Monday - Friday

Salary - £28,000- £30,000 dependent on experience
