Team Structure:
The Admin Assistant role provides critical team support to the London BD & marketing team. Whilst ultimately reporting to our Head of Business Development, the role is integral to the business performance of the department and will equally support our Head of Clients and Head of Brand & Communications also


Main Responsibilities:

Role responsibilities include but are not limited to:
Accounts

  • Processing invoices trained to support other team members as required
  • Credit card reconciliations
  • Processing expenses (using SAP Concur)
General

  • Diary management for senior members of the team
  • Booking and coordinating team meetings
  • Logging sickness (on the firm's online HR platform)
  • Keeping track of the desk booking systems
  • Purchasing images from image libraries (Shutterstock / iStock etc)
  • Keeping database login spreadsheet up to date
  • Managing memberships / subscriptions (for example, PM Forum, PMSG and Lexology)
  • Collating merchandise for ad hoc requests
  • Preparing induction schedules for new joiners
  • Document support for the Heads of Business Services (e.g. PPT presentations, best practice guides etc.)
  • Business continuity keeping the database logins spreadsheet up to date and checking quarterly that all logins are still active
  • Merchandise management
PR team support

  • Publishing news content on the firm's intranet
  • Publishing updates on the firm's LinkedIn account
  • Booking tables and managing attendance at award events
Software and process training available.

Attributes/Skills Required:


The role requires strong organisation and interpersonal skills - ideally with proven experience of managing administration tasks for a senior management team.

A proactive approach to task management and the ability to pre-empt potential issues and address or report these as required.

You will have experience in, or be willing to learn, a breadth of administrative tasks.

These range from formatting diary management and coding invoices to putting together presentations; therefore a strong understanding of numbers and literacy comprehension is needed.

This is alongside strong computer literacy skills, as much of the role's activity will be underpinned by IT based organisation.


Many elements of the role will require working on initiative and understanding the needs and requirements of both the firm and the relevant Heads of Business Services, therefore strong interpersonal skills are required to integrate closely with the management team as well as solid, appropriate communication skills when liaising with other stakeholders within the firm.
