Description

Support Haematology Management Team by preparing documents using relevant packages, in preparation for meetings both internal and external to the Trust.

Set agendas, take and transcribe minutes of meetings. Organise and co-ordinate meetings, conferences, study days, away days. Manage seminar room bookings as appropriate.

Book and coordinate travel arrangements as and when necessary.

Work closely with Clinical Admin Team to ensure Clinical Directors clinical diary commitments align to avoid diary clashes Compile and prepare and type admin staff rotas Support with medical on call rota in absence of Office Manager Preparation of departmental induction and teaching programmes Responsible for processing donations by submitting cash/cheque to general office Support Office Manager regarding Honorary contracts for medical/nursing staff Assist with the investigation and compilation of response to complaints/incidents Work from initiative using own judgement, acquired knowledge and tact to deal with queries and resolve situations or refer to appropriate person.

Compile data regarding Trust KPIs.

Organise and maintain departmental stock and stationery, raising electronic requisitions, authorised signatory for small payments and authorisation of appropriate invoices.

Responsible for reporting malfunctions of o office equipment, taking appropriate action and reporting to Estates Department. Obtain information as requested by the Management Team.

Be able to work as part of a team, promote effective flows in the department to cover leave to ensure office runs smoothly.

All general office duties.

To work in a flexible manner in accordance with Trust Policy. Attend appropriate training and education sessions as the request of Manger. Train new and junior members of the administration team within own work area as required by line manager.
