The Role


We are seeking a Coordinator to join our global Benefits & Wellness team, supporting global Benefits and Wellness programs and Benefit/HR Systems.

Reporting into our Benefits Manager, you will have responsibility for ensuring the integrity of employee data, providing world-class support for benefits enrolment, ensuring plan compliance, as well as providing support for our global wellness programming.


This role provides the opportunity to take responsibility for day-to-day administration of global benefits and help shape the future of benefits through research, analysis, and recommendations for future benefits and programming.

The role is geared towards someone who enjoys data management and analysis, process efficiency, and is customer service orientated.

Full training will be provided in role along with the opportunity to get involved in new and ongoing HR projects.


Responsibilities will include:


  • Supporting the daily administration of all health and welfare benefit plans for our global teams: US, UK (London and Belfast), Hong Kong, Singapore, Switzerland, Frankfurt, and Canada
  • Managing rules specific to team eligibility and enrolments in available benefits plans
  • Responsible for administrative benefits activity and notifications within our HR system, Workday, and online benefits systems.
  • Owning benefit communications including maintenance of systemgenerated communications
  • Team ownership of the benefits mailbox; be the frontline support to see to resolution of employee related benefits questions/issues; having the right sense to know when to escalate
  • Working to ensure a smooth benefits enrollment and rollout for all locations
  • Supporting our monthly UK payroll process across the UK, Switzerland and Germany, as well as the semimonthly US payroll process.
  • Responsible for quarterly auditing and reconciliation of benefit census against vendor census
  • Acting in support of all our benefit plan administrators and benefit vendors, as well as being a point of contact for any Paid Time Off (PTO) questions and system issues
  • Supporting global wellness initiatives, communications and programming

HR:

  • Assisting with ongoing entry, maintenance, expansion, and audit of employee data in collaboration with Finance and in accordance with monthly payroll schedule
  • Supporting department projects and initiatives to ensure timely and accurate completion
  • Assisting in development and delivery of standardised regularly distributed reports
  • Providing support for online employee selfservice portals
  • Assisting with management of leaves (parental, sick, PTO, personal), including support of tracking system and quarterly review

Essential Criteria:


  • Excellent systems skills including Outlook, Excel
  • Ability to work collaboratively in a cross functional, team environment.
  • Excellent organisational skills and attention to detail
  • Excellent communication skills
  • Proactive, pragmatic, practical and task focused
  • Experience of working to tight deadlines
  • Legally eligible to work in the United Kingdom

Desirable Criteria:


  • Experience in processing payroll data
  • Experience in pension regulations and calculation.
  • Working knowledge or previous experience in HR (preferably Benefits or HRIS) and/or Payroll
  • Advanced MS Excel skills
  • Experience of using HR Systems (preferably Workday and/or Darwin, managed by Thomsons Online Benefits)
