Part Time role - up to 15 hours x 3 days a week to be worked flexibly (Hybrid working)

On location in Caddington and remote working.


Purpose of this role:
To support the business in the role of business admin and support with specific responsibilities around:

  • Respond to incoming communications on same working day

Essential:


  • To work on own initiative with support and guidance from the Operations Director and Finance Director where necessary
  • Communicate effectively, ensuring that all correspondence is of a professional standard and branded accordingly.
  • Perform clerical duties to ensure smooth functioning of the business
  • Execute administrative tasks on a daytoday basis.
Support role

To support the visually impaired Operations Director with


Main Duties and Responsibilities In work:


Desirable:


  • To have a good working knowledge of Equality; specifically, disability awareness with experience of people living with sight loss
  • To assist with access to second stage encrypted MS SharePoint due to its inaccessibility and to assist with second stage encryption on sage line 50 software package due to it not conforming to BS8878 accessibility standards.

Essential:


  • To accurately read aloud information that is handwritten or that the Operations Director is unable to read
  • To read written and printed material, letters, information leaflets, research material including nonaccessible webbased research.
  • To proofread computer produced work prior to deadline submission ensuring grammar, paragraphs and spelling are correct
  • To transcribe documents into an accessible format such as from scanned documents. Help with PDF's Jpeg's spread sheets and websites that aren't accessible to my text to speech synthesizer
  • To assist me with use of my computer with complicated company interface/ portal sites for example and company database E.G. Bright HR and Bright Safe, and charity log
  • Upon the direction of the operations director, manage Teams and zoom meetings
  • To accompany the operations director to Zoom client meetings, to take notes, and to facilitate by managing the sharing of documents, between members, so that meeting room is accessible
  • To describe drawings, photographs and all other visual information
  • To archive documentation regularly, accurately on cloud base and BrightHR
  • To become familiar / expert in creating accessible editable Microsoft documents using MS word developer tool

Administration Role:

Main Duties and Responsibilities In work:


Desirable:


  • Ad hoc duties for the Finance department including the monthly chasing of time sheets
  • To maintain and update our web page using WordPress and social media presence including content writing and breaking news stories
  • To Redesign and maintain our social media presence

Essential:


  • To Use existing knowledge and skill in the production of accessible and usable documents with the inclusion of 'form fill edit boxes for the business
  • To create and maintain Databases using MS Access and Ms Excel to capture business data
  • To maintain a good level of regular housekeeping of folders and files, creating meaningful folder titles, and images as file names dispensing with catch all folders and misleading file names
  • To assist the Consultant in note taking during Supervision Meetings according to time schedule as agreed in management meetings
  • To regularly update the client folders ensuring that contact details remain correct and that funding approval letters are received and stored on file
Special Conditions

  • This post requires the successful applicant to live local to Caddington and be on hand when physical support is required by the operations director. Desirable
  • This post will have limited travel leading to overnight stays twice yearly.
