The People & Organisational Development (POD) department work to ensure staff are both committed to and equipped for achieving Goldsmiths' strategic objectives.

Playing a key role in supporting positive cultural change, our vision is to develop a contemporary, solutions focused HR service to support our staff and managers and to enhance the staff experience.

We offer comprehensive support in HR Operations, HR Policies, HR Systems, Reward, Business Partnering, Learning & Development and Equality, Diversity & Inclusion.


Working within the Shared Service team of the People and Organisational Development department, you will work collaboratively with the wider team and with payroll to ensure our people changes are dealt with promptly.


We support managers and staff with a variety of queries, and we actively look to deal with these sensitively and in a timely manner.


About the Role...


As a People Shared Service Assistant, you will be the first point of contact for the POD team answering routine queries about policy and procedure and recognising when it is appropriate to refer to the People Operations Manager or Associate Director (People Operations, Data & Systems).

The Shared Service Assistants are responsible for administering the full employee lifecycle from supporting hiring managers through the recruitment process from the point of advertising, issuing contracts and ensuring all pre-employment checks including RTW and DBS checks are completed, processing contract variations, maternity and absence administration and handling routine enquiries on terms and conditions of services.


Key duties include (but are not limited to):

  • Coordinating various recruitment campaigns and assisting Hiring Managers on end-to-end recruitment processes.
  • Administer the process for new starters, obtaining references and ensuring that all relevant preemployment checks including health clearance, right to work checks, qualification checks and DBS checks (where applicable) are completed.
  • On a monthly basis ensure all payroll and contractual data inputting is completed to payroll deadline, this includes setting up new starters, processing leavers, processing contractual changes such as a change of hours, extensions, pay progression, regrades, family friendly and flexible working requests.
  • Maintaining digital employee records in line with GDPR and Goldsmiths data retention policy, ensuring that all records are up to date, accurate, reliable and meet high standards of quality.

About you...


You will have previous experience working within an administration or customer service role in a busy client-focused environment, ideally with some experience of HR Operations and/or Recruitment processes.

Excellent communication skills, both written and verbal and attention to detail will be key in this role paired with the ability to multi-task and deliver a first-class service in a fast paced and busy environment.


You will need to be confident and have great interpersonal skills as this role requires communicating with internal/external stakeholders at all levels across the College.

You will have experience of working as part of a team that requires you to meet challenging deadlines.


Goldsmiths is currently operating on a hybrid-working model, and you will be expected to work on campus for at least two days a week, however, there may be times when you are required to work additional days on campus depending on the needs of the College.
