Our Estates Management team play an integral part of achieving these goals by being responsible for Shoosmiths' property strategy, space management and contract management.


  • The roleWe require an enthusiastic and committed Estates Team Leader for an officebased role, working closely with all members of the Estates team, and alongside the Regional Estates Manager. This role will sometimes involve travelling to the Edinburgh office and collaborating on Scottish Initiatives.
  • Main responsibilities
    Front of House
  • Ensure Front of House business requirements are always met to high professional standards
  • Ensure all training is completed by staff
  • Be the point of contact for contractors
  • Keep reception guides up to date
  • Ensure IT equipment in the client suite is maintained, reporting issues accordingly

Reprographics

  • Build a comprehensive understanding of reprographics and all its requirements
  • Working within the team to coordinate, time manage and oversee all highvolume reprographics requests, whilst liaising with the business in order to establish workloads and priorities for the team
  • Quality control check work produced by the team, including (but not limited to) the daily post, reprographics, media reproduction, deeds and archiving
  • Purchase and invoicing of stationery and reprographic consumables
  • Archiving and deeds management
  • Be the point of contact and build a professional relationship with all reprographics contractors and engineers
  • Assist with largescale reproduction projects for other offices when required

General

  • Build relationships with partners and staff
  • Knowledge share appropriately to achieve continual high standards from all team members
  • Deal with queries that arise throughout the day with a solution focussed approach
  • Liaise and communicate regularly with the Regional Estates Manager to ensure continuity and transparency
  • Carry out tasks alongside the team in all areas wherever required
  • Conduct 1 to 1's
  • Maintain team rota alongside the Edinburgh team, ensuring holidays are covered appropriately
  • Keeping invoicing up to date on the system
  • Audit preparation and onsite contact for audits
  • Assist with internal office moves
  • Assist at other offices on occasion
  • Maintain equipment in accordance with national practices
  • Assist with Health, Safety and Environmental duties where appropriate, including assisting with Fire Evacuation Strategy and being a Deputy in the absence of the REM.
  • Any ad hoc duties that arise


  • Skills and qualifications

  • Preferably minimum of three years' experience of supporting, leading and managing a team preferably within a legal business services team
  • Ability to lead and create a positive and energetic atmosphere
  • Approachable with selfconfidence and can demonstrate initiative
  • A proactive and solution focussed approach to workload and pressures
  • Articulate with the ability to communicate in a professional manner at all levels
  • Excellent time management with the ability to be hands on as well as delegate appropriately and fairly
  • The ability to support, encourage and work alongside colleagues
  • Ability to deliver a high standard of service to both internal and external clients
