We are seeking an experienced and enthusiastic individual to join our small, friendly team as a
Reception Supervisor.

In this key role, you will lead and support the reception team to provide the highest standards of patient care, ensuring all reception administrative duties are performed effectively and to the required standard, meeting the objectives of the practice.


In addition, you will support the management team in promoting ED&I, SHEF, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development, and to carry out other duties as directed by the management team.

Responsibilities:


Reception Team Leadership:


  • Lead and support the reception / care navigation team in daytoday operations.
  • Manage facetoface and telephone appointment bookings.
  • Supervise, train, and support reception staff, ensuring adherence to practice protocols.
  • Be responsible for the management of the practice rota, adding sessions onto the patient clinical system, EMIS Web with support from the Practice Manager
  • Support the ongoing implementation of digital transformation and General Practice Improvement

Qualifications and Experience:

Essential:


  • GP Practice experience.
  • Senior Receptionist or supervisory experience
  • Excellent communication and IT skills.
  • Ability to lead and support

The following are the core responsibilities of the Reception Supervisor There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.


Primary Key Responsibilities

The Reception Supervisor is responsible for:

  • Line managing all reception / care navigators, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training
  • Completing staff appraisals as required
  • Identifying and delivering team training where required
  • Compiling reception / administration staff rotas
  • Reviewing and updating all administrative and reception policies and procedures as required
  • Supporting the management team in the compilation of practice reports and the practice development plan
  • Developing, implementing and embedding efficient office processes and procedures to adhere to extant legislation
  • Coordinating the provision of temporary administrative and reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences
  • Updating the appointment system to reflect leave and other approved absences
  • Providing initial guidance and advice to patients who wish to verbally complain
  • Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary
  • Acting as building fire marshal, ensuring evacuation lists are current and that the visitors' log is used appropriately

Secondary Responsibilities
In addition to the primary responsibilities, the Reception Supervisor may be requested to:

  • Deputise for the practice manager during periods of absence
  • Partake in audit as directed by the audit lead
  • Coordinate and produce meeting agendas and record the minutes of meetings
  • Support the practice manager in the maintenance of the practice website and social media accounts
  • Monitor and promote the use of the Friends and Family Test
  • Champion continuous improvement, encouraging staff to participate and make suggestions for CI initiatives
  • Assist with QOF targets
