An experienced, temporary part-time Senior Clerical Officer Hours per week) is required in the Confucius Institute (CI) at Bangor University to support all parts of the work of the Institute.

Duties include general administration, including maintaining social media platforms and organising events and cultural activities within Bangor University, as well as with local primary and secondary schools and communities across north Wales.

The ability to communicate through the medium of Welsh is desirable for this post.

Overview


The CI is part of the College of Arts, Humanities and Business and represents a collaboration between Bangor University and China University of Political Science and Law, Beijing.

The CI focuses on bridging the cultures of Wales and China and bringing their people together through cultural activities, education and research.

Each year, CI delivers events within the university and across north Wales, usually in collaboration with partners, covering diverse aspects of culture such as Mandarin language teaching, calligraphy, Chinese kites, tai chi, music, visual arts, etc.

The Institute works with an increasing network of national and international partner organisations and individuals.

Purpose of the Job


Administrative Support to the Confucius Institute at Bangor University Day-to-day activities are varied, including planning and delivering cultural events, engaging with the Schools and Departments across Bangor University, liaising with a wide range of external partners and operating administrative systems to ensure that CI complies with internal and external regulations and working efficiently and effectively in line with its budget and annual plan.

The Administrator will be part of a small team reporting to the Director.

Responsibilities:


  • Organise a variety of cultural events for diverse audiences, including the delivery of engaging social media campaigns.
  • Supporting multiple projects, using digital and traditional media to connect with new and existing audiences.
  • Assist in developing and maintaining the content and usability of our digital marketing channels aimed at schools, colleges, and students at Bangor University and the wider north Wales community. This would include the Confucius Institute's website, Facebook, Twitter &; YouTube.
  • Assist other team members in promoting outgoing exchange opportunities among University staff.
  • Liaising with University staff and representatives of external bodies as appropriate.
  • Welcoming and dealing with visitors.
  • Organisation of meetings, including arranging venues, catering services etc. and provision of hospitality.
  • Preparation and circulation of summary reports/papers for various committees/task groups.
  • Minute taking and circulating as appropriate.
  • Organisation of any departmental travel arrangements.
  • Participate in networks across the University and externally in order to ensure dissemination of information in a timely and efficient manner to those required.
  • Build relationships and contacts to facilitate the future exchange of information.
  • Play a part in departmental arrangements to ensure that staff at all levels are aware of departmental and wider policies that might affect them.
  • Provide effective clerical support, e.g., writing letters and reports, record keeping and photocopying.
  • Maintenance of the filing and archiving systems, including data entry.
  • Administration of financial documentation.
  • Ordering/maintaining a stock of stationery supplies.
  • Attendance at events within North Wales and, occasionally, beyond the region; this will include some driving.
  • Operating with the highest level of confidentiality, integrity, and discretion.

It may be amended, at the discretion of the Director and following consultation with the post-holder, to include other duties commensurate with the grade.
