Are you a creative individual with a graphical eye and experience with bids/tenders? Due to continued growth, a workplace design & build agency is looking for a
Bid Co-Ordinator to join their team.


What does the role look like?


As a
Bid Co-Ordinator, you will work collaboratively with teams across the business in the delivery of submissions and tenders, working closely with the business development, sales and marketing teams.

Reporting to the Chief Operating Officer, your main responsibilities will include;

  • Create bespoke pitch proposal presentations/documents tailored to clients.
  • Take responsibility for producing high quality, creative and detailed tender documents that incorporate all information from Project Directors, Design, Pre-Contract, Project Managers and Furniture. Documents are to be grammatically correct and produced in line with internal guidelines and branding.
  • Production of bid documentation with the Project Director, including all prequalification questionnaires.
  • Liaising with external parties when necessary for printing bid/pitch documentation. This also requires working closely with the Design team to execute externally printed documents.
  • Owning and implementing the design of all graphics collateral
  • Use templated submission document pages but also suggest new layouts if needed
  • Be a brand champion and continue to implement the business' brand. Work with the Marketing team to produce company brochures, promo items, and assets for social media and marketing campaigns in line with brand guidelines.
  • Maintain the brand's consistency across all digital designs and printed materials.
  • Produce graphic collateral and provide graphic support across all departments for events, recruitment ads, company presentations etc.
  • Production of credentials and other sales documentation based on a highlevel creative brief from the Project Directors to support initial meetings and interim sales meetings.
  • Collaborating with the design team to generate new and innovative design ideas for documentation.
  • Confidence and efficiency in InDesign to produce documentation. Day to day formatting of information to follow brand guidelines.
  • From time to time, assist the Marketing team to ensure a project case study is produced and kept online for every completed project. Close liaison will be required with the Marketing department for content and any approvals required.
  • Offer ideas and suggestions to enhance the bid processes and win rates as well as making improvements to processes and systems.

What are they looking for in a Bid Co-Ordinator?

  • Experience of working in a Bid Coordination role or similar, ideally at a business within architecture, design or construction.
  • Excellent knowledge in InDesign, Photoshop, Illustrator, PowerPoint.
  • Knowledgeable in print production processes and preparing files for print. Confident in liaising with external print companies and understanding of colour systems to ensure quality and consistency of designs.
  • Used to liaising with a variety of departments to ensure strategy is clear and content is correct.
  • Proven ability to generate high quality InDesign documentation with creativity and commercial awareness linked to bid/pitch requirements.
  • Must have the ability and experience of working under pressure and working to tight deadlines.
  • Strong English language skills are a must, both written and verbal.
  • A flexible, team working attitude is essential.
  • Attention to detail and the ability to take accountability.
