Description
The role of the Studio Assistant + Junior PA at Speirs Major is central to the success of the Practice.
You will work with the Partners, Practice Manager and Designers on a day to day basis to assist with the general running of the Practice.
Studio Administration- Meeting and greeting visitors and taking telephone messages.
- Managing general studio appearance / tidiness.
- Ordering office supplies.
- Managing incoming and outgoing post / couriers.
- First Aider for the London Studio.
- Fire Warden for the London Studio.
- Organising travel for designers.
- Assisting with the liaising with Landlord and Managing Agents.
- Assisting with the management of Third Party system maintenance (telecoms, IT, etc.)
- Assisting with the management of security, including alarms.
- Assisting with the management of safety, including accident books.
- Assisting with the management of premises cleaning by third party.
- Assisting with the management of suppliers and utilities.
- Assisting with the management of contacts on Rapport.
- Managing Senior Partner diaries.
- Managing Senior Partner task lists.
- Managing Senior Partner timesheets.
- Handling correspondence.
- Taking telephone messages.
- Organising Senior Partner travel and accommodation.
- Managing Senior Partner itineraries.
- Managing Senior Partner cash and credit card expenses.
- Carrying out general support and administrative tasks.
- Assist with monitoring of Health and Safety Plan, including Fire Risk and Accidents.
- Organisation of office and interoffice social events.
- Monitoring new project enquiries.
- Assisting with the preparation of tender documentation for potential projects.
- Assisting, registering and issuing of fee proposals.
- Maintaining general database of projects.
- Maintaining and revising existing hard copy and digital filing systems.
- Managing archive and retrieval.
- Assisting Partners / Design Team leaders with project administration.
- Monitoring requests for promotional literature.
- Assisting with the management of the website.
- Assisting with the organisation of marketing functions, parties etc.

Salary:
£23,000.00-£25,000.00 per year
Ability to commute/relocate:
- London: reliably commute or plan to relocate before starting work (required)
Education:
- GCSE or equivalent (preferred)
